The City of Saint Charles Human Resources Department is currently recruiting for the position of Special Events Coordinator for the Special Events and Communications Department. The purpose of this position is to act as the Farmer's Market coordinator and to assist the Special Events and Communications Director with building and expanding the market for future growth and success. Support of other special events for the City of Saint Charles through administration, organizational and logistical support may also be required.

Essential Duties and Responsibilities

The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.

  • Determine the eligibility of those wanting to sell at the farmers market based on the rules established by the City of Saint Charles.

  • Actively recruit new farmers, vendors and producers to expand the variety of products for sale.

  • Collect rental fees from vendors and maintain accurate records of payment.

  • Oversee the weekly operation of the market, including coordination of set up, tear down, volunteer management and vendor management.

  • Execute special promotions days for the market throughout the season. This includes the planning, organizing and execution of special activities for the markets.

  • Continually evaluate the markets strengths and weaknesses. Conduct customer surveys, track overall sales, and monitor for potential improvements in daily logistics, outreach efforts, and product selection

  • Attend market to oversee activities and ensure details are handled as planned

  • Assist director in addressing any issues that may arise and remain on site after the event is over to ensure proper clean up

  • Work with and give guidance to volunteers and staff involved in event planning and execution

  • Assist with department administrative duties as needed including, but not limited to, invoice entry and payment, ordering of supplies, answering department phone calls.

  • Assist Special Events and Communications Director in the planning and execution of other Special Events for the City. Including, but not limited to, administrative and logistical support, marketing and communication support, and planning and working at the events.

  • Other duties related to event planning as assigned.

  • Must be able to work weekends, as the Farmers Market is held on Saturdays.

  • Ability to excel independently and as part of a multidisciplinary team and adapt to shifting priorities.

  • Ability to connect effectively with diverse audiences, ranging from the general public to volunteers and market stakeholders

  • Willingness to work non-traditional hours, including weekends and evenings. Work is in-person and will flex based on hours worked on the weekend for the market.

    Minimum Training and Experience Required

  • Bachelor's degree in Communications, Public Relations, Event Planning, or related field

  • 1-3 years of experience in event planning, non-profit development, or experience in farmers market coordination a plus.

  • Any combination of education and experience that provides equivalent knowledge, skills and abilities.

  • Valid Driver's License

    Physical Abilities Required to Perform Essential Job Functions

  • Ability to exert moderate physical effort in sedentary to light work, typically involving some combination of climbing and balancing, stooping, kneeling, crouching, crawling, lifting, carrying, pushing and pulling

  • Ability to work under generally safe and comfortable conditions where exposure to environmental factors such as temperature variations or extremes bright/dim light and electrical currents may cause discomfort and poses little risk of injury.
