+-----------------------------------+-----------------------------------+ | Description: | Under the direction of the City | | | Engineer, performs general | | | secretarial functions primarily | | | for the Engineering Division and | | | generally for the entire Public | | | Works department. | +-----------------------------------+-----------------------------------+ | Duties: | ·         Receives calls for the | | | department and assists and | | | answers questions from the | | | public. | | | | | | ·         Carries out all | | | necessary scheduling and mailing | | | associated with the department | | | staff, and boards or commissions. | | | | | | ·         Assists in coordinating | | | meetings of staff, commissions, | | | boards and committees and assists | | | with preparing materials and | | | reports. | | | | | | ·         Records and transcribes | | | official minutes, in a timely | | | manner, from the boards, | | | commissions and committees. May | | | attend after-hour meetings. | | | | | | ·         Assists Engineering | | | Division through development | | | process coordination, document | | | preparation, scheduling, and | | | tracking. | | | | | | ·         Organizes and maintains | | | files in a manner of easy | | | retrieval of information. | | | | | | ·         Assists public with | | | general information about the | | | department, codes and policies. | | | | | | ·         Types letters and | | | memos, as directed. | | | | | | ·         Reviews and issues | | | official documents such as | | | permits, licenses, bonding, | | | contracts, bidding documents, | | | advertisements, etc. | | | | | | ·         Assists Director and | | | Assistant Directors as needed. | +-----------------------------------+-----------------------------------+ | * * | All other duties as assigned. | +-----------------------------------+-----------------------------------+ | Qualifications: | Must be a high school graduate, | | | with at least one year of post | | | high school education in data | | | entry and secretarial skills, and | | | five years of practical work | | | experience.  Experience can | | | off-set required education on a | | | one-to-one basis. Experience in | | | specific department function | | | preferred. | | | | | | KNOWLEDGE, SKILLS AND | | | ABILITIES | | | | | | Experience with Microsoft Suite | | | is essential and be able to type | | | at least 50 words per minute.  A | | | knowledge of or the ability to | | | learn other software packages, | | | such as Power Point, Excel, | | | Windows, WordPress, and GIS is | | | also important.   Must have | | | courteous telephone skills and | | | must work well with the public.  | | | Must be able to quickly take | | | accurate messages.   Must be able | | | to take accurate, detailed | | | minutes of various meetings and | | | transcribe those minutes in a | | | timely manner.  Must become | | | familiar with City, state and | | | federal requirements as they | | | pertain to minutes, codes, and | | | the various boards or | | | commissions. | +-----------------------------------+-----------------------------------+ | Physical Demands: | While performing the duties of | | | this job, the employee is | | | required to sit for extended | | | periods of time.
