General Description

The Project Coordinator is responsible for providing administrative support for the Enterprise Projects department by coordinating meetings, preparing documentation and notes, and maintaining records. Additional responsibilities include being proficient in the Project Management Information System, preparing reports, and maintaining working knowledge of the assigned area of responsibility in order to assist with other various tasks.

Essential Duties and Responsibilities

  • Coordinates resources for Continuous Improvement workshops and other various types of project meetings. This includes scheduling meetings, distributing agendas, reserving rooms, meeting set-up and tear-down, and coordination of meeting meals as needed. This duty is performed 35% of the time.

  • Regularly attends meetings, captures notes and minutes, provides attendees with a recap, and ensures that meeting recordings are appropriately stored. Assists management with entering items in the Project Management Information System, preparing reports, documentation, and presentation content. This duty is performed 35% of the time.

  • Assists Project Managers and Business Analysts with coordination and follow-up on minor tasks and assists with preparing project documentation related to the project. This duty is performed 25% of the time.

  • Acts as an IT Steering Coordinator by coordinating and attending the bi-monthly meetings and transcribing recordings into notes that are presented to the Director of Information Services and the Board of Directors. This duty is performed 5% of the time.

  • Maintains regular and reliable attendance, punctuality and personal appearance. Reads, writes, and communicates in a clear and efficient manner via various types of correspondence, such as, in person, phone, email, letters, etc. Adheres to all company policies and procedures, as well as all applicable banking rules, regulations, and laws (including BSA/AML).

  • Performs any other related duties as required or assigned.

Education and Experience Requirements

  • High school diploma or GED

  • 0-12 months of related experience and/or training

  • Regular use of desktop/laptop computer, basic operating systems, and specialized software systems.

  • Intermediate experience with alphanumeric data entry, PowerPoint, Excel, and Word Processing

  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent.

License Requirements

  • Preferred: Project Management Professional (PMP)
