South Middlesex Opportunity Council HCEC Intake Specialist in Springfield, Massachusetts
SUMMARY
Initial point of contact for people seeking emergency food. Facilitate the process of acquiring food, determine areas of gaps in social services and refer to appropriate agencies in order to close those gaps, thereby aiding guests in their ability to stretch limited resources.
PRIMARY RESPONSIBILITIES
Greet guests and asks for all required documentation for acquiring food.
Hand out number cards on an as-needed basis
Cross-reference guests documents to pantry documents to ensure completeness and non-duplication
Conduct interview for intake to acquire information for statistical purposes and to determine any gaps in services that may be available to the guests
Refer guests to appropriate agencies
Inform guests of any special items in stock in the pantry
Complete USDA sheets for signatures and addresses for all guests
Maintain data entry on statistical databases • Count USDA intakes and records the number
Ensure all referrals and old intake sheets go to the shredder to ensure confidentiality
Re-file all intake sheets at end of day
Check government food products and maintains up to date USDA sheets on a daily basis
Count all meat choices and referrals for the day
Maintain cleanliness and order in the intake room
Answer telephone an as-needed basis • Assist in warehouse as needed .
Engage all clients by understanding and addressing their needs whether within or outside the scope of the specialty.
Attend & participate in engagement team meetings, follow up with client service plans and communicate effectively with clients and staff in other specialty areas.
Ensure compliance with program/department, agency and/or funder requirements , as well as, SMOC policies & procedures.

KNOWLEDGE AND SKILL REQUIREMENTS
Previous experience working with culturally diverse populations.
Ability to work with other diverse populations (e.g. mentally ill, chemically dependant).
Excellent written and oral communication.
Fluency in Spanish preferred.
Must have strong computer skills; previous experience with Word and Excel preferred
ORGANIZATIONAL RELATIONSHIP:
Directly reports to Program Director, Emergency Food Pantry.

PHYSICAL REQUIREMENT
Lifting up to 50 lbs. over a 5 hour period of time during food drives
Bending, stooping and carrying up to 50 lbs. when assisting in warehouse.
WORKING CONDITIONS
Environment includes an office area and warehouse area that may not be climate controlled. As part of the responsibilities of this position, the Intake Specialist will have direct or incidental contact with clients served by SMOC in various programs funded or administered through the Executive Office of Health and Human Services.
