Monroe 2-Orleans BOCES CTE-Administrative Assistant to the Executive Principal (Full-time, 12 months/yr.) in Spencerport, New York

Under general supervision, perform executive secretarial services relieving Executive Principal of administrative details.

TYPICAL DUTIES:

  • Performs executive secretarial functions for Executive Principal;

  • Relieves Executive Principal of details which do not require their personal attention by the use of discretion, tact and thorough knowledge of agency/office policies and procedures;

  • Uses a variety of office technologies to produce such materials as correspondence, reports, contracts, spreadsheets, and/or other data;

  • Uses computer applications such as spreadsheets, WinCap/WinCap Web, calendar, e-mail and database software in performing work assignments;

  • Manage/track attendance and prepare bi-weekly reports for office staff/Admins as well as back-up and monitor staff attendance in FrontLine;

  • Maintains calendar of appointments for the Executive Principal, ensuring the Executive Principal is apprised of all appointments and changes as well as matters requiring immediate attention;

  • Records minutes of meetings and prepares them to be in final document format;

  • Answers telephone and responds to requested information and/or refers inquiries to the appropriate party;

  • Arranges appointments and meetings and prepares materials for them;

  • Compiles a variety of data to be used as a basis for reports and prepares reports or statements;

  • Maintains files for the Executive Principal, ensuring that material is properly marked and accessible for immediate use by the Executive Principal;

  • Performs responsible clerical work in the maintenance of complex and confidential records and files, both manually and by use of computers;

  • Opens, sorts, and screens incoming mail and answers routine correspondence; routes remainder to the appropriate party;

  • Any additional clerical duties as requested by the Executive Principal.

Job Qualifications

Must possess or meet requirements for Civil Service title Office Clerk II or III. Clerical experience strongly preferred, including word processing and data base knowledge.

Clerk II - High School diploma and 3 years full or part time or volunteer equivalent office clerical or secretarial experience; or an Associate's degree in Secretarial Science, Office Technology or a closely related field plus one (1) year of office clerical or secretarial experience.

OR

Clerk III - High School diploma and 2 years paid full-time or part-time or volunteer equivalent office clerical or secretarial experience; or an Associate’s degree in Secretarial Science, Office Technology or a closely related field.

Knowledge and Skill Requirements

  • Ability to perform executive secretarial services.

  • Knowledge of office procedures in an educational setting with a full range of skills in the operation of a computer and other office technology.

  • Ability to exercise independent judgment in the application of prescribed methods and procedures.

  • Minimum of a High School diploma with post-secondary business or secretarial training desired.
