About The Job

The Document Services Specialist is responsible for handling printing and production operations at Host-affiliated locations, including troubleshooting print/production equipment issues, placing service calls for broken devices as well as maintaining inventory for paper, toner and other related print/production supplies. This role is responsible for gathering and organizing reporting data, such as mail and copy volumes. The individual in this role also acts as a liaison between Host clients and the records management company to certify accurate information and to coordinate pickup and delivery of archived items.

The Document Services Specialist also works with partner vendors, such as office supplies, document storage, and reprographics.

What You Will Do

Order and stock toner and copy paper to maintain inventory at/near devices

First line assessment/trouble shoot service issues – no tool repairs

Visually check each device on a regular basis

Liaise with technicians to repair devices, escort if necessary (sites without Security)

Some sites may require light copy/production (minor copying, binding and/or lamination only)

Liaison between records management company and client

Coordinate pick-up and delivery of archived items with records management company

Escort shredding vendor and FM vendors as needed or required

Assist with the provisioning of shredding consoles or extra services as required

Volume and site reporting as required

Performs other duties as assigned.

What You Will Need

Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future

HS Diploma or GED required and a minimum of 1 year of related experience. Prior

Customer Service and document services experience preferred.

Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor.

Comfortable meeting and engaging with new people.

Warm and engaging demeanor. Ability to assess circumstances, empathize and offer help.

Ability to calculate simple figures such as percentages.

Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.

Basic knowledge of computer software and hardware (i.e. Microsoft Office Suite Products). Familiar with a variety of file types such as TIFF, JPEG, PDF, MS Word, and Excel. Ability to work handheld mobile technologies and applications

Ability to work in multiple software platforms and learn and retain technical software applications quickly.

Good organizational skills. Ability to use computer system to track and report on requests received and status of completion.

Must work well under pressure with multiple deadlines and demonstrate a proactive approach to routine and non-routine occurrences.

Ability to work flexible work schedules based on business need.

May need to be physically able to lift and move 30-40 boxes and operate a two-wheel dolly.

Strong problem-solving skills. Highly adaptable and flexible.

Physical ability to assist with document services operations. Able to lift 50 lbs.

Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.
