Shippensburg University CoB Web Content & IT Support Specialist/MBA Clerical Assistant in Shippensburg, Pennsylvania

This position has responsibilities in two areas of the College of Business, the Web Content/IT Support and the MBA Clerical Assistant.

Web Content and IT Support Specialist The College of Business (CoB) faculty/staff consists of approximately 50-60 members. The support specialist provides a variety of technical and support services of a complex nature to the dean, the associate dean, and the CoB Faculty/staff along with maintaining an up-to-date website for the College of Business (http://ship.edu/business/) -- undergraduate and graduate programs, MBA Website (www.ship.edu/mba) as well as the Academy of Business Disciplines Journal (http://www.ship.edu/ABDjournal/), and the Charles H. Diller Jr. Center for Entrepreneurial Leadership and Innovation. (http://www.ship.edu/dillercenter)

Functions include the central role in maintaining the CoB website and related tasks in support of AACSB accreditation and the administration in the CoB. The support specialist reports to the Associate Dean of the College of Business. The support specialist must have initiative, as well as the ability to prioritize and organize work assignments in an effective and efficient manner. Independent judgment is used in determining priorities, pacing, and completion of work that must be accomplished with considerable independence and minimal review. Material is reviewed and independent decisions are made, particularly in work performed with the website. Discretion is demonstrated by the CoB support specialist in determining the appropriateness and necessity by conferring with the supervisor.

The support specialist must be knowledgeable in the use, care, and upkeep of a computer, related storage and input systems, printers and scanner. Advanced training and competency is required in using, to include but not limited to: Microsoft Office Software, Episerver Content Management System, Photoshop, Paint, Adobe Acrobat, Web Connection for Konica Minolta bizhub support/ configuration, Rise Ticker support/configuration, Rise Vision -- support/configuration for the CoB stock trading room display players, and use of various browsers. The support specialist should be familiar with HTML language for website work.

The incumbent will serve as the central point for the collection of data for the entire CoB for website posting. The support specialist will have technical knowledge to utilize digital equipment to record special college events for web posting and the support specialist must have the ability to determine appropriate technical style and format in producing pages added to the website.

Maintains the printed and digital versions of the lobby directory. The digital lobby display software is administered through software provided by Industry Weapons. This electronic display board is kept up to date with all faculty and staff information to include office hours as well as Student Professional Organization information, CoB calendar, News and Events. The support specialist performs troubleshooting of hardware and software should problems arise. Works directly with Industry Weapons if problem cannot be rectified in-house.

The support specialist maintains the Rise Media players and electronic displays in Grove Hall room 205 (there are currently 4, 55 inch electronic displays). Ensures that the equipment is running and functioning properly. Troubleshoots all software and hardware issues to resolve errors. Works in conjunction with Rise support if the errors/issues cannot be fixed in-house.

The support specialist supports the BRG Precision Clocks. There are 2 digital clocks in Grove Hall room 205. The support specialist monitors these devices to ensure they are functioning properly. Clock display may need to be adjusted for accuracy by the support specialist. Work with BRG Precision Clocks if there are any issues that cannot be fixed in-house.

The support specialist keeps the Rise Tickers running and the display updated. There are currently 3 di play tickers in use. The Rise Tickers display stock market information. In addition to the stock market information, the Rise Ticker software enables creation of data-drive scrolling presentations for Rise Ticker displays.

The support specialist is on the CoB Golf Outing organization team. The support specialist is responsible for inviting all past attendees as well as all alumni within a specified geographic area. The support specialist creates a hard copy as well as a digital form to be completed by those wishing to register for the event. The support specialist is responsible for collecting all registration fees and donations. A detailed list of golfers must be maintained and then submitted to the golf course to ensure correct placement of teams, information for score cards and meal planning. The support specialist also creates any promotional posters, flyers, and special tickets required for this event. A web page and a web form is created by the support specialist for those wishing to register on-line.

The support specialist demonstrates discretion and judgment in dealing with confidential or restricted information.

The support specialist performs related other work as required and assigned by the Dean and Associate Dean.

MBA Clerical Assistant

The MBA office works with faculty and adjunct faculty from the College of Business to assist over 200 students enrolled in the MBA program.

The clerical assistant serves as office manager as well as fulfilling the clerical needs of the MBA Director, faculty, and students within the department. This position requires independent judgment, completion and coordination of various tasks on a daily basis with little or no supervision. Excellent organizational skills are necessary to run the office smoothly and to prioritize the daily workload. The clerical assistant is considered to be the first go-to person. If faculty or students have a problem, the first person contacted is the clerical assistant. Other offices on campus also inform students to see the clerical assistant when having problems with scheduling, grades, etc.

The work involves performing a wide variety of complex assignments in the midst of a high traffic work environment. Solely responsible for carrying out various tasks through to completion ensuring that the procedural requirements deadlines are adhered to.

Entering MBA Schedules:

Assist MBA Director in preparing course schedule and offerings, course times, room assignment allocations, and instructor. Responsible for entering data into OneSys. This involves entering the data for each course, assigning faculty, room location, course times, days, capacity, undergrad/graduate seating allocation, any restrictions and special notes. Follow procedures for any changes once the schedule has been published.

Student Scheduling:

Assist students with any questions about course registration. Notify students of any schedule changes. The secretary is not to advise students (that is a faculty responsibility). However, there are times when a student has not met with their advisor or their advisor is not available and the student needs registration assistance. During these times, the department secretary will make the decision to go over with the student what courses to schedule.

Budget Work:

Manage the department's budget. Prepare budget for submission to Dean's Office (calculate necessary increases or decreases in line items, adjust budget category amounts as necessary, obtain Directors's approval, and
