Summary: Supports Corporate and Kentucky plants in general and administrative support. Serves as receptionist as assigned. Performs a variety of clerical duties, including mail, data entry, reporting, tracking, and general office duties. Represents company in a positive and professional manner in person and on the phone while maintaining confidentiality.Essential Duties and Responsibilities include those listed below. Other duties as assigned. Serves as receptionist: •Receptionist should be regularly available to greet customers, answer phone calls and perform other tasks. Reliability is a priority by ensuring you are available to help.•Operates external caller system and directs them to appropriate employee, supplies appropriate information to callers, records and transmits messages. •Process daily mail to include Accounting specific procedures. Notifies the receiver of special delivery mail and timely distributes. i.e., weekly paystubs •Serves as key phone operator and trains others in the use. Answers messages timely.•Maintains appearance of reception area, lobby, and common areas. Includes replenishing all lobby materials (visitor/contractor badges, sign in sheets and PPE supplies).•Responsible for receiving visitors, determines nature of business and directs visitors to appropriate person or destination. Ensures that all visitors sign in appropriately under the ITAR/EAR requirements. •Assists internal personnel with scheduled visitors, tours with schools, and groups. Supports Corporate and KY Plant clerical duties including:•Oversee facility offices. oSupply room and office supplies ordering and storage. oFills all training and conference rooms for supplies (drinks, coffee, supplies, etc.) and assists with setting up resources as required for meetings or classes.•Point of contact for badges and security system entry.•Tracking required Inspection forms (i.e., crane and press inspection forms) •PPE Reimbursements (issuing vouchers, logging receipt, and reconciling invoices)•Responsible for maintaining temporary agency process, being a contact, communicating requisitions, setting up temporary workers in systems, processing invoices.•Preparing employee birthday cards, maintaining mailing lists•General administrative support.Performs general clerical duties for HR/Safety/Training Department. •Assist HR Generalists oEmployee functions and engagement activities, and events, i.e., job fairs, benefit meetings, activities, holiday lunches, etc. oOrders misc. items for HR (i.e., baby blankets, wedding gifts, funeral, etc.)oSupplies apparel and employee rewards. (i.e., Mission & Values, TogetherWeCare, etc.)oData entry and filing for HR and Training systemoPrepares and coordinates training material and room preparation as needed (i.e., RFC Academy materials, book training room, etc.) oProcesses Random Drug Testing Administration /notices and trackingoOther tasks as assigned. Associates degree in Business Administration preferred. Office experience in administrative, clerical, or secretarial role required, preferred 2-3 years’ similar experience.
