The Department of Psychiatry and Behavioral Sciences within the UW School of Medicine is the third largest clinical department within the School of Medicine with 330 full-time faculty members, 460 courtesy faculty members, and over 350 staff. Department faculty provide clinical services in 5 hospitals, 14 primary care locations, and several outpatient sites in addition to telepsychiatry consultations to more than 150 clinics in Washington and beyond. As the only academic psychiatry department serving the five state WWAMI region (Washington, Wyoming, Alaska, Montana, Idaho), the Department’s highly competitive residency training program is largely responsible for developing the mental health workforce in the Pacific Northwest. The Department’s robust research portfolio totals $67 million in grants and contracts per year for projects ranging from clinical neurosciences to treatment development to health policy and population health. The Department is recognized as an international leader in developing, testing, and implementing Collaborative Care, an integrated care model increasingly seen as a solution for population-based mental health care. Other areas of excellence include Addictions, Autism, High Risk Youth, Neurosciences, and Trauma, and the Department is developing innovative new programs in Technology and Mental Health, Global Mental Health, Maternal and Child Mental Health, and Targeted Intervention Development. Psychiatry is the third largest department in the School of Medicine and the largest non-divisioned department. The overall annual operations funding from all sources is over $130 million.

The Department of Psychiatry & Behavioral Sciences within the UW School of Medicine currently has an outstanding opportunity open for a Temporary Research Study Coordinator 1 . This position is a full-time (40 hour/week) role. The coordinator will be expected to work on site at least 3 days per week. The duration of the position is 1 year. Renewal of the position beyond 1 year is possible depending on qualifications, performance, and project needs.

The Research Study Coordinator will work closely with the Principal Investigator and colleagues on a study funded by the National Institute of Alcohol Abuse and Alcoholism. This 5-year study involves conducting a randomized controlled trial of the revised app (study years 2-5). The study is currently in year 2.

Responsibilities Participant interaction responsibilities (50% of effort)

• Screen potential participants by phone (involves asking about highly sensitive topics). • Call participants to orient them to the study app. • Conduct weekly coaching calls to support app use with participants. • Contact participants as needed to address issues. • Answer participant questions. • Provide referrals and crisis intervention to participants as needed. • Arrange clinical follow-up for participants (e.g., crisis support). Some participant interactions may occur after standard business hours. • Perform other related duties as assigned/required.

Administrative activities (50% of effort)

• Monitor the work of undergraduate research assistants. • Assist with the onboarding and training of staff. • Schedule participant appointments; ensure staff attendance at appointments. • Issue participant payments. • Monitor the functioning of study systems; request revisions to systems from developer as needed. • Develop recruitment materials. • Assist in identifying study recruitment sites. • Maintain site-specific referral lists. • Obtain feedback from study advisory boards. • Assist with the preparation of IRB applications, modifications, and renewals; coordinate human subjects’ activities across multiple study sites. • Update the study protocol document. • Log adverse events and problems with data collection. • Monitor progress toward study goals. • Ensure compliance with all relevant IRB, federal, and funder requirements. • Track participant flow through study activities. • Identify and implement strategies to maximize accuracy and efficiency of study procedures. • Maintain study social media accounts. • Maintain the study website. • Schedule meetings, send meeting invitations and reminders, lead meetings, take notes in meetings, ensure follow-up on meeting action items. • Develop and update procedures for completing study tasks; create instructional documents reflecting these procedures. • Prepare and submit progress reports to the data safety and monitoring board, UW, and NIH. • Arrange payments to consultants, advisory board members, etc. • Submit purchase orders. • Track study spending and budget. • Create training guides and documentation for project tasks. • Perform other related duties as assigned/required.

• Contribute to the collegial and collaborative environment of the study team. • Communicate effectively and professionally with all study team members. • Communicate effectively and professionally with all participants, study team members, and project partners. • Delegate tasks using clear instructions; monitor task completion to ensure accuracy and timeliness; follow up when needed. • Troubleshoot and exercise effective judgment to resolve challenges . • Seek supervision in a timely fashion whenever appropriate. • Complete tasks in a timely and accurate fashion while maintaining participant safety and abiding by all study procedures; independently anticipate and plan for upcoming tasks. • Carry out complex tasks based on brief verbal or written instructions . • Maintain knowledge of all study procedures and expectations (e.g., from IRB, funder, PI, and others). • Proactively identify and resolve instances of conflicting instructions, information, documentation, priorities, and/or project requirements. • In an ongoing manner, identify strategies to improve performance based on feedback and self-reflection. • Effectively manage competing time demands, prioritize appropriately while maintaining efficiency, and troubleshoot solutions when time management challenges arise. • Develop and maintain in-depth knowledge of all study systems related to task assignments; use study systems in a manner consistent with documentation and verbal instructions.

Minimum Qualifications

• Two years of college level course work in a relevant academic area AND two years of experience as a Research Study Assistant OR Equivalent education/experience.

• Ability to both work effectively both independently and in a team environment. • High motivation and strong time management; ability to produce quality work in a timely manner. • Strong organizational skills and attention to detail. • Strong skills in critical and “big picture” thinking; ability to place tasks in the broader context of the study and anticipate future tasks given big-picture study needs. • Excellent oral and written communication skills. • Strong interpersonal skills. • Experience in project management. • Relevant research experience, such as experience with clinical trials research or experience with participant tracking and follow-up. • Interest in research related to trauma and/or sexual assault. • Demonstrated experience and interest working with adults in crisis, with trauma or sexual assault exposure, and/or with mental health symptoms. • Supervisory experience.
