Employment Type: Full-time Schedule: In Office (M-F) Salary: $30.00-$36 hourly Level: Mid Provide office assistance duties for the office. The position requires high attention to detail, professional verbal and written communication skills and the ability to correspond with internal team members and clients. Provide construction administration support to all project managers. This position requires high attention to detail, intermediate to advanced Microsoft Office skills (including but not limited to Microsoft Project, Outlook, Excel, and Word), professional verbal and written communication skills, and the ability to correspond with all project managers and clients. Knowledge of Newforma, Salesforce and Procure are also preferred. Specific Duties: Front reception for the office. Daily office maintenance and appearance. Office mail distribution. Book conference room reservations. Coordinates vendor luncheons and prioritizes set-ups during presentation days. Log in office Visitors using the Splan account. Submit work orders for office maintenance. Stocking and inventory of supplies. Project set ups and assignment creation in Salesforce. Creates, updates, and maintains project files. Submitting contracts to clients through Salesforce. Sets up, reviews, edits, transmits, and tracks fully executed sub-consultant agreements. Prioritizes incoming and outgoing correspondence. Maintains RFIs and submittal logs in Newforma. Routes RFIs and submittals to respective project managers/engineers for each project and coordinates/follows up with them to ensure timely response to clients. Distributes and files responses to RFIs, submittals, change orders, punch lists, etc., for projects. Provides administrative and clerical support in the preparation of project-related correspondence, technical specifications, and reports. Provides support to all project managers through all phases of the construction process on multiple projects. Formats large amounts of project specifications as per each client's specific requirements. Update, maintain, and distribute Weekly Task reports to Project Managers. Communicates with subcontractors, architects, owners, local building departments, site superintendents, and others, as required. Document management; Administer contracts for Project Managers; reviewing documents and formatting for required changes. Highly Organized, detail-oriented, and able to multitask. The ability to work independently, often under pressure, while possessing excellent written & oral communication skills. Requirements: Handles multiple assignments and priorities; readily accepts new responsibilities and adapts well to changes in procedures. Personally demonstrates that external (or internal) customers are a high priority; identifies customer needs and expectations and responds to them in a timely and effective manner. Has established a track record of producing work that is highly accurate, demonstrates attention to detail and makes grammar and punctuation a top priority when creating memos, forms, and documents. Makes and fulfills commitments; meets deadlines and accepts responsibility for his or her actions; arrives at work on time and ready to contribute. Adjusts quickly and effectively to changing conditions and demands. Previous experience in an office environment or administrative experience preferred.
