We have an outstanding opportunity for a Project Manager, Advancement .

This position is responsible for driving high level of support for organizational programs, including, but not limited to strategic projects in support of campaign and university initiatives, recruitments, employee onboarding, training and retention, strategic projects, supporting annual giving and unit stewardship, and fiscal and HR support, as directed by the ASA's Advancement office.

Reporting to the AVP, the Project Manager facilitates the flow of accurate information across and between ASA advancement teams, University Advancement and unit leadership, as well as oversee the tracking, and execution of all aspects of projects.

Stewardship, Donor Engagement and Project Management (35%)

• In partnership with the Director of Stewardship, develop manage and continually improve stewardship tracking, reporting, assessment and outreach for 7,000 annual gifts and $420M in endowments. This project includes six divisions who are supported by ASA Advancement. • Work with key stakeholders to draft charters (goals, deliverables, resource requirements, milestones, timelines, tasks and assignments) in accordance with the PMO standards and policies. • Keep project progress on track, manage risk and report progress of the project health. Escalate as appropriate to sponsors, team members, and other stakeholders and keep them informed. Regularly update project documentation, provide timely project summaries, and facilitate meetings for communication and publish for visibility. • Create and develop reports, graphics, spreadsheets and other customized collateral as requested by AVP. • Maintain a clear understanding of all programs/projects operating under the AVP’s purview in order to ensure projects are coordinated. • Provide strategic leadership for the discipline of Project Management in supporting projects such as tracking delegated tasks, facilitating meetings, convening and documenting the progress and execution of projects. • Manage project budgets with discretionary authority.

ASA AVP Office & Project Administration (35%)

• Maintain a comprehensive understanding of all programs and projects within AVP office and ASA scope to deliver high-level project management and administrative support. Work closely with ASA Administrative Assistant to monitor action plans, maintain follow-up systems, trouble-shoot and track deadlines to ensure timely execution. • Oversee and maintain budget, reconciliation, tracking and support for ASA AVP across five units, as well as tracking budgets, and generating reports for major initiatives. • Manage recruitment searches including coordinating with the Talent Acquisition team, applicant tracking, scheduling and coordinating timeline, interviews and meetings, screening and interview panels, candidate travel, interview schedules, search firms and other key stakeholders, to ensure a successful process. • Compile on boarding plan in coordination with AVP/Director. • Serve as point person for volunteer boards, prepare materials, organize meeting in support of campaign and university initiatives.

Multi-unit Annual Giving (25%)

• As part of this multi-unit stewardship assessment, help coordinate Husky Giving Day preparations, timeline and trainings with unit partners. • Create an evaluation and metrics for stewardship and annual giving. Lead coordination of best practices across Central Advancement.

Other duties as assigned (5%)

• Work with admin coordinator to provide backup administrative support to the AVP as needed.

Requirements include:

• Bachelor's Degree and 3 years' experience in project management, fundraising, event management, community relations, marketing, higher education administration, or related field. • Expertise using Zoom, Adobe Acrobat and Microsoft suite including Word, Excel, OneNote, Teams, OneDrive and PowerPoint. • Excellent organizational and project management skills. Ability to work independently and complete projects in a fast-paced, deadline-driven environment. Experience managing multiple projects/tasks and keeping pace with rapidly changing priorities and deadlines. Ability to problem-solve, take initiative, set priorities and exercise good judgment. • Extraordinary oral and written communication skills; interpersonal skills; customer service ethic; trustworthiness with confidential information; ability to communicate effectively with diverse internal and external constituencies by phone, correspondence and e-mail; willingness to take initiative; and experience in data management. • Meticulous organizational skills; attention to accuracy, detail and thoroughness in completing assigned duties and responsibilities. • High-level of diplomacy and tact. • Self-motivated and focused. Maintains an eye for process improvement. • Demonstrated ability to collaborate and work well with people throughout all levels of an organization. • Strong, demonstrable commitment to fostering a diverse, equitable and inclusive work environment. • Ability and desire to master new technologies.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

Desired:

• Experience working in institutional advancement, higher education. • Project Management Professional (PMP) or equivalent certification. • Demonstrated effectiveness managing in a culture of change and transition.
