The Department of Electrical and Computer Engineering has an outstanding opportunity for a Professional Programs Manager (payroll title: Counseling Services Coordinator). This individual provides a critical role in ECE Professional Programs by providing high-level program development, academic advising, alumni engagement initiatives, and academic policy management while also maintaining day-to-day program operations and implementing the out-of-classroom experience for students in the Professional Master’s Program (PMP) and Affiliated Certificates.

DUTIES & RESPONSIBILITIES Academic Advising 30%

  • Advise degree and certificate students throughout the lifecycle of their graduate student experience, from application through enrollment and graduation to becoming program alumni.

  • Interpret university, college, and department policies related to academic programs and student issues for students, faculty, and staff.

  • Plan and conduct new student orientation with the involvement of the Director and ECE Events Team.

  • Perform regular maintenance of degree and certificate student records across various UW advising systems and internal tracking documents.

  • Document all advising meetings, process petitions, and administer the program’s satisfactory progress policy as needed.

  • Plan events and initiatives to cultivate a sense of community and inclusion in the Professional Master’s Program, with a focus on support for full-time and international students. Recruiting and Admissions 20%

  • Develop and participate in annual recruitment plans, including online and in-person information sessions and campus visits.

  • Advise prospective students and applicants on degree and certificate programs to assist them in determining program fit.

  • Lead the PMP and affiliated certificates admissions processes with particular attention to ensuring a holistic review process.

  • Aggregate and distribute application materials to the admissions committee, select and train PMP student application reviewers, participate in application review, track all admissions petitions and issues, and convey admission decisions to the Graduate School.

  • Deliver onboarding information for admitted students, including updating online resources, conducting new student welcome sessions, and providing regular communications and programming through the spring and summer to increase retention. Professional Programs Administration 20%

  • Engage in fiscal management by creating yearly and quarterly PMP event budgets, managing purchases and completing associated reconciliation processes, and administering the PMP Student Conference Travel Award.

  • Participate in the development and review of social media, website, print, and other marketing materials, helping shape program messaging.

  • Maintain PMP and certificate program web content and usability, ensuring accuracy of public and student-facing information and policies on the ECE website, intranet, and Canvas.

  • Develop, update, and administer PMP academic policies to provide equity and transparency to students and maintain consistency with UW, Graduate School, and College of Engineering policies.

  • Participate in and/or support recurring annual ECE and Professional programs events such as info sessions, orientation, graduation, capstone fairs, etc.

  • Assist in the development and review of Professional Master’s Program and Affiliated Certificate time schedules each quarter.

  • Manage classroom reservations and lab/equipment procurement for Professional Programs offerings.

  • Hire, supervise, and collaborate with the PMP student assistant(s). Meet regularly to provide training and guidance.

  • Other responsibilities as assigned by the Director of Industry and Professional Programs. Alumni Relations and Career Development 20%

  • Serve as the Professional Programs alumni relations lead, encouraging alumni to remain engaged with the program and building professional networks for current students.

  • Partner with the Career Center @ Engineering, faculty, alumni, and other campus resources to provide tools and programs that support the career readiness of students.

  • Track and document qualitative and quantitative data regarding student and alumni career outcomes. Work with the PR team to promote student and alumni career placement and accomplishments.

  • Organize career-focused initiatives that engage alumni with students including networking events, alumni/employer panels, and/or mentorship programs. Analysis and Strategy 10%

  • Gather, analyze, and report data on trends in PMP applications and admissions, student demographics, academic progress, and course enrollment.

  • Utilize data to make informed decisions and recommendations regarding PMP admission targets, growth, course offerings, and curriculum development.

  • Survey students and recent graduates to assess needs, and summarize the results to identify areas of success and areas for increased attention.

  • Communicate with the Director and GPC about student morale, emerging needs, and develop appropriate support strategies and/or new policies as needed.

  • Partner with the Director to create income and operating costs projections and perform tuition comparisons at peer programs and institutions.

  • Lead Responsibilities: The position leads the day-to-day operations, academic advising, alumni engagement, career development activities in the Professional Master’s Program and Affiliated Certificates. Supervisory responsibilities: Student Assistants (both on-going positions and those associated with the admissions review committee). Working Environmental Conditions: This position must be able to work flexible hours as necessary due to work demands and will occasionally require attendance at evening and weekend events and information sessions. MINIMUM REQUIREMENTS

  • Bachelor's Degree in Education, Social Sciences, Engineering, Public Administration.

  • Four years of experience with Student Counseling, Student Services, Recruiting, or Career Coaching. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

  • Experience coordinating academic, alumni engagement, and/or recruitment events.

  • Ability to work independently and as part of a team; flexible and self-motivated.

  • Commitment to diversity and experience working with individuals from different cultural, ethnic, geographic, and experiential backgrounds.

  • Excellent verbal and written communication skills, used in situations requiring conflict management and an awareness of cultural differences; demonstrated experience and ability to communicate effectively with diplomacy and professionalism.

  • Engaging presentation and public speaking skills.

  • Self-motivated and able to use available resources to solve problems, develop new resources, and answer questions with minimal supervision.

  • Excellent time-management, attention to detail, and organizational skills and the ability to work under the pressure of frequent deadlines in a fast-paced environment.

  • Proficiency with Microsoft suite and cloud-based tools.

  • Equivalent education and/or experience may substitute for minimum requirements. DESIRED QUALIFICATIONS

  • 4+ years of experience in providing student advising, student services, career advising or related experience to university students.

  • Knowledge of career development theories, adult development theory, counseling process, career decision making, learning styles, and job search techniques.

  • Experience supporting adult learners and international students in graduate education.

  • Experience in recruiting and supporting students historically underrepresented in STEM and higher education.

  • Familiarity and experience with UW admissions, registration, and UW systems such as EARS, MyGrad Program, Slate, UW Student Database, Canvas, and BI Portal.
