Executive Assistant to Senior Vice Presidents- Posting #26255

Hourly Rate: $26-$29

Annual Salary: $54,080-$60,320

Position Summary:

Sea Mar seeks a full time Executive Assistant to Senior Vice Presidents to work out of its central Administration office in south Seattle. The Executive Assistant to the Senior Vice Presidents is responsible for providing support to the Senior Vice Presidents of Operations and other members of the executive team as needed. They assist with the coordination of operational activities throughout all medical and dental clinics.

The successful candidate must have excellent verbal and written communication skills, including the ability to compile, interpret, and utilize information; and to communicate effectively with people of all backgrounds and educational levels. Must be able to work with minimal supervision, use good judgement, meet deadlines, and prioritize workloads. Must be well organized and have good attention to detail. Must have intermediate computer skills; database experience is a plus. Undergraduate degree or equivalent work experience required. Must be fully fluent in spoken and written English; bilingual English/Spanish is a plus. Non-profit, and/or healthcare experience is a plus.

Duties and Responsibilities:

  • Manages and successfully completes a variety of complex projects as assigned.

  • Ensures consistent implementation and compliance across operations. 

  • Prepares reports, presentations and training tools, doing the necessary research to ensure the information being presented is accurate. May be called upon to serve as trainer and presenter.

  • Gathers relevant data regarding Kronos reports and prepares data tables.

  • Manages and maintains electronic and paper files, ensuring the information is organized and accessible.

  • Responsible for data collection, aggregation, analysis, improvement and reporting activities under the direction of Operations.

  • Coordinates MA apprenticeship contracts and participation agreements, including preparing contract summaries. 

  • Audits and reconciles interpretation invoices and runs reports. 

  • Performs technical writing, proofreading, and editing of administrative documents as needed. This may include policy and procedures, reports, minutes, and proposals.

  • Assists Senior Vice President of Operations with organization-wide program coordination.

This is not a comprehensive list of duties, others may be assigned. 

Required Qualifications:

  • Bachelor's degree or three years' experience in project management or management support required.

  • Must be able to work independently, prioritize workload, meet deadlines, and maintain project momentum.

  • Must be able to maintain confidentiality and be an effective negotiator and advocate when required.

  • Possess good organizational skills, excellent verbal and written communication skills, and be self-motivated.

  • Demonstrate professionalism and appropriate boundaries in all interactions.

  • Must be proficient with: Word, Excel, PowerPoint, Access, Practice Management Software, and Electronic Health Records.

  • English speaking required, bilingual in English/Spanish is preferred.
