The Department of Global Health was established in 2007, bridging the schools of Medicine and Public Health, with a mandate to harness the expertise and interdisciplinary power of all UW schools and colleges. POSITION PURPOSE AND COMPLEXITIES

The Department of Global Health has an outstanding opportunity for a full-time Program Operations Specialist within the Academic Programs & Student Services (APSS). The position works with course instructors, provides course support and administration, manages time schedule construction and other curricular systems, and supports academic program events and operations for the APSS office. This role operationalizes academic, curriculum, communications, and event priorities, focusing on information management, faculty and course support and administration, and related activities, in carrying out program operations. This position interacts with faculty, staff, and students in the Schools of Public Health and Medicine (SPH/SOM), as well as from other units on campus. The ideal candidate will have the ability to advocate, collaborate, communicate effectively, work independently, exercise independent judgement, work on a team, and meet critical deadlines. This position will be located at the Hans Rosling Center for Population Health at the UW Seattle campus and will report to the Assistant Director of Academic Services.

DUTIES AND RESPONSIBILITIES Curriculum Operations Management (60%) • Act as primary point of contact for communications with APSS; triage appropriately. • Gather and archive data, conduct monitoring & evaluation, and compile reports on performance of key metrics as identified by APSS team for internal and external reporting. • Support degree and program audits, with emphasis on Council for Education in Public Health (CEPH) reporting and UW Graduate School programmatic reviews. • Maintain confidentiality and handle confidential and sensitive information appropriately. • Manage relationships with Office of Educational Assessment (OAE) and Time Schedule Office. • Manage quarterly UW Time Schedule, including preparation, maintenance and troubleshooting problems according to UW deadlines. • Manage quarterly course-related functions, including UW student course evaluation requests, grade submissions, and SPH course syllabi harvests. • Maintain curricular aspects of SharePoint site. • Manage administrative aspects of the department’s quarterly TA hire process. • Administer Department’s curriculum review initiatives, including tracking of Course Development Plans (CDPs). • Provide day-to-day support to courses, including responding to instructor, TA, student and staff inquiries and requests, including room reservations, parking code requests, registration questions, TA work space, guest honoraria, etc. • Update and maintain current course information (e.g., new courses, schedule changes) on department website. • Provide coordination and administrative support to the UW course approval process in the Kuali system. • Maintain internal department records. • Schedule and minute DGH Curriculum Committee. • Maintain procedures manual for position, keeping current. • Other duties as assigned in support of DGH curriculum activities.

APSS Operations Management (40%) • Manage key administrative tasks for student events (under APSS event lead), to include: annual new student orientations, student/faculty network events, graduation, etc. • Track required documentation for departmental student travel fellowships and student travel abroad. • Manage travel reimbursements and/or stipend payments for student travel fellowships, conference funds, etc. • Manage Population Health Building access for students and bike room access for ASEs. • Schedule and minute APSS weekly and monthly staff meetings. • Organize, submit, and reconcile office supply orders for APSS staff. • Manage APSS staff reimbursements and purchases for events and travel. • Update DGH web pages, faculty/staff intranet, and on-line student intranet as needed. • Identify and provide administrative solutions to address key operational infrastructure needs, including gaps, across programs. • Other duties as assigned?in support of academic programs and student services.

MINIMUM REQUIREMENTS

• Bachelor's Degree and two years of administrative work experience.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

• Experience with data gathering and analysis. • Self-motivated, resourceful, strong organizational skills. • Ability to multi-task, prioritize, and coordinate projects independently and collaboratively in cross-functional teams. • Demonstrated ability to facilitate communication between professionals with a variety of backgrounds in a respectful and diplomatic manner while enhancing effective partnerships.

DESIRED QUALIFICATIONS

• Experience working in academic services and systems. • Working knowledge of UW systems for curriculum (Time Schedule Construction, Time Schedule Update). • Familiarity with other campus units with which this position interacts (e.g., Registrar, Schools of Public Health/Medicine, etc.). • Self-motivated, resourceful, strong organizational skills. • Ability to multi-task, prioritize, and coordinate projects independently and collaboratively in cross-functional teams. • Demonstrated ability to facilitate communication between professionals with a variety of backgrounds in a respectful and diplomatic manner while enhancing effective partnerships • Experience with data gathering and analysis. • Knowledge of academic and staff policies, as they relate to an academic organization.

CONDITITONS OF EMPLOYMENT

• Deadline-driven environment, occasionally requiring extended hours.
