The School of Medicine has an outstanding opportunity for a Administrator-Program Operations to join their team. POSITION PURPOSE

  • Fulfill the medical education goals of the UW-WWAMI School of Medicine (SoM) by managing the Spokane, Central and Eastern WA clinical medical education programs and build medical education expertise in the region while fulfilling the educational goals of the University of Washington SoM and the national medical school accrediting agency, the Liaison Committee on Medical Education.

  • Determine new methods and policies to strengthen medical education in Spokane, Central and Eastern Washington.

  • Oversee and manage program operations, relieving the Assistant and Associate Deans, or other upper-level supervisors as requested, of operating and administrative details.

  • Articulate the SoM WWAMI Program vision, values and mission to the Spokane, Central and Eastern Washington medical education community, University of Washington faculty and staff, WWAMI partners and the general public in person, writing and telephone.

  • Participate on-site visits with the Assistant Deans and independently respond to and address issues and questions concerning site logistics and quality of student experience.

  • Exercise independent judgment, discretion and confidentiality to advise Assistant Deans on student concerns and programmatic best practices.

  • Coordinate goal setting and accomplishment with the AK, MT, ID, and WY Regional WWAMI Offices, UW SoM Departments of Regional Affairs and Rural Health and Academic Affairs, various WWAMI clerkship departments, the Eastern Washington medical education community, business leaders and legislative representatives.This position makes essential & significant contributions in support of the University’s mission of education, public service & patient care.

  • As a representative of the UW, this position will be responsible for exhibiting the goals & demonstrating the standards of the SoM to: Central & Eastern Washington, to the Spokane Medical Community, to the WWAMI Program participants, local business leaders, medical & political representatives, allied health professionals, students, & the general public.

  • Generally, this position’s influence & impact on goals is fairly substantial due to the high levels of responsibility, knowledge & involvement required & utilized.

  • Decisions made by this position may result in a rapid response or delayed implementation—it will depend upon the complexity of the issue, the number of levels of review & the willingness or need to implement change.The decentralized structure of the WWAMI program presents specific administrative complexities for the regional office in Spokane, Central and Eastern Washington. Most administrative, academic and student service programs are administered in Seattle with a high level of administration and facilitation for the specific programs occurring in the Spokane, Central and Eastern regional office. This requires the position to have a very clear understanding of the knowledge of the University of Washington curriculum, systems and procedures, ability to manage and prioritize between the functional areas and an ability to work with, coordinate and communicate the WWAMI vision to people over geographic distances within the state of Washington, in Seattle and across the WWAMI region. Being located in Spokane requires sensitivity to local medical education and community priorities while balancing the priorities, mission and vision of the UW SoM. The medical education program in Spokane, Central and Eastern Washington continues to undergo significant growth and changes which will significantly impact the medical education program in Spokane and require increased coordination with UW SoM deans, department education leadership, faculty, staff and students. Spokane and communities in Central and Eastern Washington are currently seeking opportunities for GME expansion which requires interface with the regional office with current residencies, healthcare facilities and community leaders. This position may evolve and change as the needs of the program evolve and change. DUTIES AND RESPONSIBILITIES Program Management (90%):

  • Act as UW SoM liaison for Spokane and Eastern Washington for the medical education program.

  • Oversee the implementation of new clinical sites for third and fourth year medical students doing required and elective clerkships.

  • Participate in the development and implementation of new required clerkship and elective clerkship locations, set-up process and policy. Work with community physicians to create clerkship site applications. Work with new clerkships to successfully implement logistical requirements and serve as UW SoM resource during student assignments.

  • Provide counsel to the Assistant Deans in Spokane on highly confidential student progress and educational matters related to the program, students or other aspects of the WWAMI Spokane clinical education.

  • Manage and oversee the medical education clinical program activities in Spokane and Eastern Washington to include advising students, physicians and UW deans, faculty and staff.

  • Participate in the development and implementation of Primary Care Practicum locations.

  • Lead the processing of clinical and foundations faculty appointment and promotion applications for volunteer and paid faculty Work with site directors, Spokane SoM deans and teaching physicians to ensure appointment and promotion materials meet departmental submission requirements.

  • Coordinate and facilitate UW SoM leadership site visits to Spokane throughout the year.

  • Provide counsel to the Assistant and Associate Deans and School of Medicine Leadership on site logistics.

  • Identify synergies between Foundations and Clinical Medical Education to continually improve communication and workflow.

  • Build relationships in Spokane, Central and Eastern Washington with physician preceptors, hospital and clerkship administrators, medical organizations, business leaders and organizations, academic departments, academic affairs and regional affairs at University of Washington SoM.

  • Assist in development of proposals to expand services and/or undertake new projects. Oversee implementation of projects and programs as developed ensuring that implementation reaches a satisfactory conclusion and program/system is maintained to meet objectives. Assist with development of department planning activities and monitor progress.

  • Manage goal and priority setting UW SoM Spokane.

  • Execute strategic vision set by UW SoM Spokane Assistant Deans.

  • Participation on site visits to clinical sites and hospitals to include WWAMI medical education sites, TRUST and WRITE programs to evaluate program need and compliance with University of Washington School of Medicine clinic and hospital credentialing process, student housing, orientation procedures and evaluation systems. Provide counsel to Assistant Dean and School of Medicine leadership on site logistics.

  • Assist with scheduling as needed.

  • Assist with events coordinated by Spokane staff as needed.

  • Proctoring clinical and foundations examinations as a shared responsibility with UWSOM staff.

  • Job duties may evolve over time as the structure of the needs of UW SoM-Spokane evolve.

  • Other duties as assigned.Quality Improvement and Process Management (5%):

  • Analyze operations of WWAMI office and develop improvement plans and policies where needed.

  • Identify and develop best practice models and standard procedures

  • Identify and implement process improvement measures based on gathering data and analyzing information.

  • Maintain operational manuals and policies for easy access by all staff.

  • Monitor compliance with university policy and procedures.Marketing/Public Relations (5%):

  • Edit and research data and articles for submission of publications to include newsletters and others as requested for distribution to Central and Eastern Washington WWAMI, local Washington agencies, partners and universities on a regular basis.

  • Develop and produce informational and marketing material such as brochures, presentations and fact sheets for distribution both within and outside the state of Washington. MINIMUM REQUIREMENTS

  • Bachelor’s degree in business administration or related field.

  • Two or more years of relevant experience such as upper-level program operations, administration or management support. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

  • Excellent organizational detail and prioritizing skills with the ability to multitask and work under the pressure of constant deadlines.

  • Ability to comprehend complex problems and reach reasonable conclusions.

  • Expertise with oral and written communication tasks.

  • Discretion with senior-level confidential information.

  • Must be a self-motivated and independent worker.

  • Ability to contribute constructively to the University’s mission. DESIRED QUALIFICATIONS

  • Master’s Degree in an allied field.

  • Four or more years of relevant experience such as upper-level program operations, administration or management support.

  • Experience in an allied medical field.

  • Experience with educational administration or in an academic setting working with faculty, students and staff.

  • Knowledge and appreciation of the variety of settings where students will be working in Central & Eastern Washington. CONDITITONS OF EMPLOYMENT

  • Spokane UW SoM is located at 840 Spokane Falls Blvd in Spokane. Office hours are 8AM to 5PM. A hybrid schedule will be considered.

  • Additional evenings & weekends as needed; may occasionally require 50+ hours/week.

  • Overnight travel approximately once/month.

  • Multiple work-group areas result in numerous externally imposed deadlines & frequent need for an immediate response.

  • This position requires a high level of autonomy and the ability to collaborate with diverse and remote partners.
