The UW Medical Center - Montlake – Utilization Management Department has an outstanding opportunity for an Administrative Assistant WORK SCHEDULE • Full-Time / 40-hours per week • Day Shifts • This position is 100% remote
POSITION HIGHLIGHTS • Provide high-level administrative support and coordination for daily operations for the Utilization Management department.
This position works within a fast-paced department and requires a high level of organizational skills. Key functions include: • Strong communication skills, both verbal and written, for managing emails, phone duties, and customer interactions. • Proficiency in using various software (Microsoft Office, Kronos, SharePoint) and handling clerical tasks, including database management and report creation. • High-level organizational skills for project management, paper flow, and managing departmental communications. • Experience in transcription of meeting minutes and preparing reports or presentations. • Strong customer service skills with an emphasis on professionalism, confidentiality, and patient dignity. • Demonstrated commitment to professional growth, team collaboration, and solving problems in a constructive manner. • Participation in quality improvement initiatives and ensures compliance with safety protocols and departmental standards.
PRIMARY JOB RESPONSIBILITIES • Provide high-level project support for Manager and Utilization Management (UM) team, including any public and commercial payor reporting and audits, UM Committee organization and Appeals management support • Coordination of incoming and outgoing Payor communications including special reporting required by specific insurers. • Responsibility for coordinating delivery of insurance documents to HIM. • Assist in creating and managing correspondence related to Denials and Appeals management and other UM projects. • Format transcription and responsibility for recording UM departmental meeting minutes. • Responsibility for managing the main UM office number for general inquiries and triage of specific payor requests to the UM team. Receive messages and relay information to manager. • Contribute to overseeing the content and organization of the UM Intranet or SharePoint page. • Support staff by sharing knowledge of UWMC operations and assisting them with appropriate requisitions and protocol. • Assists in the coordination of special events and projects.
Strong candidates will have five years of increasingly progressively responsible experience in office, secretarial, bookkeeping, accounting, or general administrative work. Excellent written and verbal communication skills are essential for this role, as well as the ability to organize and prioritize work and handle a fluctuating workload. Must be able to work cooperatively with staff, physicians, patients, families and community.
REQUIRED POSITION QUALIFICATIONS High School/GED AND three years of office or administrative support experience OR equivalent education/experience.
