The UW Center for Teaching and Learning (https://teaching.washington.edu/about/ctl/) (CTL) is charged with developing and delivering programs that advance learning and promote teaching excellence among faculty members, post-docs, and graduate students and staff in instructional roles. The CTL's work is deeply collaborative, engaging partners across the University, including Undergraduate Academic Affairs, Academic Technologies, the Graduate School, UW Libraries, the Office of Educational Assessment, the Office of Minority Affairs and Diversity, the Faculty Senate, and academic units. All CTL programs and services are driven by a commitment to enhancing student engagement and learning and supporting faculty in the development of a teaching practice that is inclusive, learner-centered, and effective across modalities.

The primary responsibilities of this position are to assist in the execution of CTL's programs for UW instructors. Currently CTL’s annual programs include autumn teaching orientations for graduate Teaching Assistants and new faculty members and the annual Teaching & Learning Symposium , a public event that includes a keynote event and a digital showcase of faculty members’ teaching-related scholarship and effort. CTL also develops and hosts programs that provide instructors with opportunities to explore the scholarship of teaching and learning. This position also provides support for the annual UW Teaching Awards (https://teaching.washington.edu/about/teaching-awards/) , the university’s pre-eminent recognition of teaching excellence. Importantly, this Administrative Assistant 2 (NE S SEIU 925 Non Supv) position will also support the development of new programs as CTL continues to respond to the emerging needs of UW instructors. This position will work closely with the CTL director and associate director and other CTL team members to ensure new programs meet CTL’s standards of excellence. Finally, this position will help the growing Teaching@UW collaboration (https://teaching.washington.edu/) with colleagues from the UW Bothell and UW Tacoma campuses.

DUTIES AND RESPONSIBILITIES Program Support (40%)

  • Learn about CTL programs.

  • Take summary notes during meetings (5-7 meetings/week).

  • Create and organize program files.

  • Make arrangements for guest speakers.

  • Reserve event spaces.

  • Handle food/beverage arrangements.

  • Work with the Executive Office Shared Services team to facilitate payment processing for program participants and invited guests.

  • Create, test, and refine registration forms; complete basic tasks in Canvas and Wordpress.Communications (40%)

  • Compose and respond to emails from program participants, CTL staff, and UW collaborators (e.g. tri-campus partners).

  • Monitor CTL email and voicemail and respond to logistical questions while forwarding others as needed.

  • Make minor updates and edits to CTL program webpages.

  • Use CTL Slack channels to share announcements from building coordinator.Scheduling (10%)

  • Identify and schedule meeting times for CTL staff, partners, and program participants.

  • Create and manage Outlook meeting invitations.

  • Assist CTL leadership with calendar management.Program Asset Compliance (5%)

  • Audit and revise assets to ensure that they are compliant with federal, state, and institutional accessibility standards.Other Duties As Assigned (5%) MINIMUM REQUIREMENTS

  • High School/ GED AND two years of office or administrative support experience OR an equivalent combination of education and/or experience. DESIRED QUALIFICATIONS

  • Demonstrated record of successful collaboration.

  • Excellent written and oral communication skills.

  • Experience with scheduling tools and practices.

  • Experience working and collaborating in a hybrid work environment.

  • Experience working in an educational environment.

  • Experience with Wordpress, Google suite, Microsoft Office suite, and Slack.

  • Experience with event registration software, such as Trumba.

  • Experience communicating with faculty.
