Robert Half Administrative Assistant in Santa Barbara, California

Description We are offering a contract to hire employment opportunity for an Administrative Assistant in the non-profit sector. The role is based in Santa Barbara, California and involves a variety of administrative and office management tasks. You will also support program activities and special events as needed.

Responsibilities:

• Answer and manage office phones, responding to email and phone requests in a timely manner

• Handle mail, bills, and donations, directing them to the appropriate recipients

• Run essential errands as required including picking up mail, making bank deposits, and purchasing supplies

• Maintain efficient paper and digital filing systems

• Oversee inventory and order office and program supplies

• Keep the office environment clean, organized, and efficient

• Provide administrative support for program activities, including maintaining databases, coordinating event logistics, and preparing workshop materials

• Collaborate with Program Coordinators and Directors to streamline and coordinate program logistics and documentation

• Assist in the preparation and organization of materials and supplies for workshops

• Handle data management and report generation using various computer software such as spreadsheets and word processing programs

• Attend workshops/events at prisons and in the community as needed.

Skills:

• Proficiency in answering inbound calls and providing customer service

• Competency in data entry and email correspondence

• Ability to handle both inbound and outbound calls

• Proficiency in Microsoft Office Suite including Excel, Outlook, PowerPoint, and Word

• Ability to schedule appointments efficiently

• Experience in event planning and special event planning is highly desirable. Requirements • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, and Outlook)

• Experience with answering inbound and outbound calls

• Strong customer service skills

• Ability to perform data entry tasks with accuracy

• Proficient in email correspondence

• Experience in appointment scheduling

• Event planning and special event planning experience

• Excellent communication skills, both written and verbal

• Ability to work in the non-profit sector

• Administrative assistance experience

• Ability to multitask and prioritize tasks effectively

• Strong organizational skills

• Attention to detail and problem-solving skills

• Ability to work independently and as part of a team

• Demonstrated initiative and proactive approach to tasks.
