Job Summary:

The Human Resources Assistant provides comprehensive administrative support to the Human Resources Department. This role facilitates employee inquiries, assists in recruitment efforts, maintains personnel records, and supports various HR functions to ensure operational efficiency and compliance.

Job Description:

  • Investigate and respond to employee questions, providing accurate information to managers, supervisors, and external parties regarding employment verifications and HR-related topics.
  • Assist with recruiting process which includes managing internal job postings, scheduling interviews, coordinating candidate testing, preparing PPE for facility tours, conducting reference checks, and facilitating pre-employment testing.
  • Prepare materials and set up rooms for New Hire Orientation.
  • Ensure new hire paperwork is completed accurately, verify identification, and enter data into the HRIS system.
  • Train new hires on the clock-in / clock-out process.
  • Enter payroll changes into the HRIS System.
  • Track and monitor performance reviews and attendance points.
  • Maintain confidential personnel records, including training documentation and employment information.
  • Organize Company meetings, social events, and company-wide activities.
  • Create and update bulletin board notices, assist with open enrollment documents, post to TV monitors, and order flowers as needed.
  • Assign clock numbers, locks, and ID badges to new hires.
  • Verify the accuracy of memos, reports, and spreadsheets.
  • Schedule respirator, silica, hearing, and vision exams.
  • Administer the Company service award program and assist the General Manager with monthly birthday card distribution.
  • Review invoices, as needed; Distribute invoices to the HR Manager for approval when necessary; send all invoices to A/P for timely processing.
  • Monitor and replenish office supplies.
  • Distribute incoming and outgoing mail.
  • Provide backup support to the HR Manager as required.

Requirements:

  • Minimum of 2 years of HR administrative experience; degree in business/administration preferred.
  • Strong onboarding and open enrollment experience.
  • Excellent oral and written communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and office equipment.
  • Exceptional organizational skills, attention to detail, and accuracy.
  • Ability to multi-task and consistently complete assigned tasks with high-quality results.
