This position is for a full-time Benefits and Leave of Absence Specialist at EAH Corporate in San Rafael, CA. Qualified candidates will have ann Associate's degree in Human Resources or related field, or equivalent combination of education and experience. 2 - 5 years benefits and leave of absence administration experience. 2+ years HR administrative experience. Bachelors degree in human resources management or related field is preferred. Experience with UKG HRIS, advanced excel skills and Business Intelligence systems such as IBM Cognos Analytics preferred. Bilingual in English and Spanish a plus. Salary range: $32.69 -$49.52 per hour; hiring range for new employees is generally $32.69 - 41.11 per hour, DOE. Please note an offer will take into consideration the experience of the final candidate and the current salary level of individuals working at EAH in a similar role.

POSITION OVERVIEW

Under general supervision and acting on own initiative, performs a wide variety of non-routine administrative activities in benefits, leaves of absence, HRIS and related areas. Assists with the administration of employee health and welfare plans and acts as liaison between employees and EAHs benefit consultants and insurance pr viders. Acts as champion of EAH benefit plans and ensures excellent customer service to employees. Understands and supports EAHs mission and core values.

RESPONSIBILITIES

Benefits

  • Administers and educates employees on health and welfare plans including enrollment, change, and termination process.
  • Works towards resolution of non-routine benefits-related issues. Ensures effective use of EAH benefit plans.
  • Assists with employee claims for disability and life insurance.
  • Assists with ensuring that plans are administered in accordance with federal and state regulations and that plan provisions are followed.
  • Assist HR/Benefits Coordinator to ensures new hires complete benefit timely enrollments in HRIS. Follows-up and escalates to managers, as necessary.
  • Works with the Payroll team to verify accuracy of employee enrollments, billing, payroll deductions. Reconciles file feeds.
  • Coordinates annual Open Enrollment including any information sessions and health fairs.
  • Assists with submission of ACA and HR Compliance reports. Ensures timely distribution of any required notices.
  • Coordinates with Benefit Consultants to keep Benefits Website up to date and to develop collateral materials to educate staff on the value and opportunities provided by our benefit offerings.
  • In conjunction with the HR Benefits Coordinator Maintains log of employee benefit exceptions and appeals.
  • Serves as back-up to HR/Benefits Coordinator.
  • Provides requested census reports to Benefits Consultants and other third parties partners as needed.

Leaves of Absence

  • Oversees communication and tracking of applicable benefit premium payments from employees on leave of absence. Confirms change of benefit coverage/status with employees on leave.
  • Ensures employee leave of absence information is captured in HRIS. Reviews weekly leave reports and updates leaves in HRIS system.
  • Coordinates with payroll team regarding leaves of absence including but not limited to wage replacement benefits coordination (PTO with state disability payments), changes in scheduled hours, health benefits coverage, return to work and the like.
  • Assists with COBRA communication.

Hiring/Orientation

  • Serves as back-up for processing new hires in the HRIS, ensuring that all required forms are complete, accurate and saved on Document Manager.
  • Designs and deliveries training to new hires on benefit enrollment and life events through recorded sessions, in-person, and virtual live trainings.
  • Ensures benefit and HR policy-related onboarding materials are kept up to date.

Record keeping

  • Prepares and maintains accurate files, records, and information for areas of responsibility, ensuring that filing is kept current and is easily retrievable.
  • Takes initiative to ensure that all data and record keeping is complete and accurate for areas of responsibility.
  • Maintains current HR-related forms on SharePoint for areas of responsibility.
  • As requested, enters data into HRIS and produces reports.
  • Assists with special projects and correspondence.
  • Regular and predictable attendance.
  • Actively participates in safety program.
  • Other duties as assigned.

QUALIFICATIONS

Associate's degree in Human Resources or related field, or equivalent combination of education and experience. 2 - 5 years benefits and leave of absence administration experience. 2+ years HR administrative experience.
