Job Overview
As an Administrative Assistant to Operations, you will play a pivotal role in ensuring the smooth day-to-day operations of our event venues. This full-time position is ideal for someone who is proactive, organized, and enjoys working in a dynamic environment. Your expertise will be crucial in supporting various administrative and operational tasks, from financial reconciliations to event preparations.
Key Responsibilities
Financial Management: Reconcile daily Point of Sale (POS) transactions, investigate discrepancies, and report reconciled sales to accounting.
Operational Support: Review and audit daily timeclock punches, assist with monthly inventory counts, and conduct weekly facility walkthroughs.
Event Coordination: Attend weekly Banquet Event meetings to stay updated on event requirements and order rentals, security, and supplies as needed.
Asset Management: Ensure rentals from vendors are returned promptly and manage the security of onsite assets.
Administrative Tasks: Process semi-monthly retirement deduction payments, review weekly banquet event orders, and maintain excel tracking of new sales.
Collaboration: Support accounting executives with various tasks associated with affiliated companies.
Qualifications
Experience: Minimum 2 years in accounting and reconciliations, with experience in QuickBooks Online for Accounts Payable and Receivables.
Customer Service: At least 2 years demonstrating exceptional customer service skills. Technical Skills: Proficiency in Microsoft Applications, Gmail, Adobe Acrobat, and
Docusign.
Personal Qualities: Strong attention to detail, excellent communication skills, resourceful, dependable, with exceptional time management abilities.
