Job Summary:

Our client is seeking a highly organized and experienced Accounts Receivable Specialist with expertise in construction billing to join their team on a contract-to-hire basis. This role requires a professional with strong knowledge of construction billing processes, including lien waivers, AIA documentation, and progress billing.

Key Responsibilities:

Construction Billing:

• Prepare and submit accurate AIA billing, progress invoices, and change orders in accordance with contract terms.

• Ensure compliance with client contracts, including retention tracking and lien waiver requirements.

• Review and verify subcontractor invoices and payments for proper documentation.

Payment Processing & Follow-Up:

• Record and apply customer payments, including checks, ACH, and wire transfers, to accounts.

• Monitor outstanding balances and follow up on past-due invoices with customers.

• Resolve billing discrepancies by coordinating with project managers and clients.

Reconciliation & Reporting:

• Perform monthly account reconciliations to ensure accuracy of AR balances.

• Prepare AR aging reports and provide status updates to management.

• Collaborate with the accounting team to reconcile project budgets with billing and collections.

Compliance & Documentation:

• Maintain organized records of contracts, invoices, payments, lien waivers, and related documentation.

• Ensure compliance with state-specific lien laws and retainage requirements.

Process Improvement:

• Identify inefficiencies in the AR process and suggest improvements to enhance accuracy and timeliness.

  Requirements

Qualifications:

• 3+ years of experience in accounts receivable, with a strong emphasis on construction billing.

• Proficiency in construction accounting software (e.g., Sage 300 CRE, Viewpoint, or similar).

• In-depth knowledge of AIA billing, lien waivers, and retention processes.

• Exceptional attention to detail and the ability to manage multiple projects simultaneously.

• Strong communication skills to interact with clients, vendors, and internal teams.

• Associate’s degree in Accounting, Finance, or related field preferred; equivalent experience will be considered.
