Description of Work

This is an anticipated vacancy on March 31, 2025.

This position serves as the Administrative Assistant to the District Engineer, Assistant District Engineer, Assistant Resident Engineer and Technicians located in the Division 3 / District 2 Clinton District/Resident Engineer’s office. The District 2 office serves Duplin and Sampson Counties and is located in Clinton. This position is required to independently handle and perform a variety of office support tasks including but not limited to answering multiline phone system and directing calls to the proper team member, processing various monthly reports in SAP and Excel, maintaining and ordering inventory and supplies, processing invoices for payment and other general office duties assigned by the District/Resident Engineer. Work involves providing assistance to staff, service recipients, and other organizational units and the public in resolving problems or inquiries. Use of the computer for entering and retrieving data to increase the efficiency of the position functions, provide external parties with timely access to construction information. Issuing Oversize/Overweight and house move permits and process the reports in SAP. Should possess knowledge of general office procedures, operation of various office machines as well as computer software applications such as MS Word, Excel, SAP, SharePoint, and Hi-Cams. Ability to work independently and prioritize daily tasks. Ability to communicate effectively in written and oral forms, letters and reports. Process all incoming and outgoing mail. Process documents as per instructions and according to work schedule, ability to multi-task while meeting deadlines. Employee must perform work in accordance with NCDOT workplace and safety policy.

Knowledge, Skills and Abilities / Competencies

Applicants must submit an application that clearly reflects work experience that demonstrates the following:

  • ·Customer service experience, including resolving customer issues.

  • ·Experience with Microsoft Office using programs such as Access, Word, and Excel.

  • ·Experience in record keeping.

  • ·Experience with letter writing, using correct spelling, punctuation and proofreading.

  • ·Experience completing and/or maintaining records and reports.

Additional Expectations:

Typical work schedule 8am – 5pm Monday – Friday. May be required to work nights and weekends as needed during inclement weather/disaster events.

Knowledge and skill in using general office software on computer and tablets. Experience with HiCAMS and Sharepoint is preferred.

The ability to legally operate a motor vehicle is necessary.

Minimum Education and Experience Requirements

High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.
