Bureau of Land Management Administrative Support Assistant in Salt Lake City, Utah

Responsibilities These positions serve as Administrative Support Assistants in the Public Room within the Utah BLM State Office, Division of Support Services. Disseminates information to the public on the BLM’s multiple resource management programs and services. Creates, copies, edits, stores, retrieves, and prints various standardized documents and mailing lists. Sells documents, maps, books, records, firewood, Christmas tree-cutting permits, Golden Age Passports, Recreation Permits, Forest passes, and other similar permits and materials. Applies clerical and administrative skills and knowledge of the functions of the office to support the work of the Division or Branch. Utilizes spreadsheet and database software to create reports and databases and operates word-processing software applications to type letters, memorandums, reports, and correspondence. Utilizes automated equipment (hardware/software) for word processing, file management, creating/compiling special reports, electronic mail, and other applications necessary for supporting and managing office operations. Performs general office clerical work as assigned, such as mail collection and distribution, answering phones, and routing calls. Processes daily incoming and outgoing mail, including material transmitted electronically. Assist in the day-to-day operations and maintenance of the facility. Performs routine/simple inspections, tests, and/or preventative maintenance on office equipment, security systems, etc. Assist in scheduling motor vehicles and monitor the overall status of the fleet, including vehicle repairs, inspections, and maintenance as needed. Ensures appropriate records are maintained, and monthly reporting requirements are met. Assist property management officials and/or property specialists in ensuring the accuracy of ownership and custody of all personal property. Schedules and completes fingerprint appointments for new hires and updates to credentials for current employees. To qualify at the GS-05 level you must meet the following: Specialized Experience: Applicants must possess one (1) full year of specialized experience at or equivalent to the GS-04 level equivalent in difficulty and complexity to perform the duties of an Administrative Support Assistant. Qualifying specialized experience includes: maintaining office files and records; receiving and referring telephone callers and visitors to the appropriate staff members; and using a computer to perform administrative duties such as typing, scanning documents, and data entry. OR Education: To qualify based on education you must have four (4) years (120 semester hours) of education above high school, leading to a bachelor's degree in any field of study. OR Combination of Education and Experience: You may meet qualifications requirement for this position with an equivalent combination of specialized experience and appropriate undergraduate education. Graduate level education must demonstrate the difficulty and complexity to do the work of this position. To qualify at the GS-06 level you must meet the following: Specialized Experience: Applicants must possess one (1) full year of specialized experience at or equivalent to the GS-05 level equivalent in difficulty and complexity to perform the duties of an Administrative Support Assistant. Qualifying specialized experience includes: utilizing computer software programs to create, retrieve, update, manipulate and store electronic data; providing administrative, technical, and/or general office support duties to an organization/office; screening phone calls and visitors; maintaining office records and files; and reviewing correspondence for proper grammar, spelling, and syntax. Please note there are no educational substitutions at this grade level. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. Physical Demands: The work is typically sedentary. Some work may require periods of walking, standing, bending, or driving a motor vehicle. The incumbent may frequently lift relatively light boxes, materials, and supplies and/or carry file folders, copied materials, books, and other similar materials. Work Environment: Work is typically located in an adequately lighted, heated, and ventilated office environment. The work environment may involve everyday risks or discomforts that require normal safety precautions typical of such places as offices, mail distribution centers, meeting and training rooms, libraries, or motor vehicles.
