The Administrative Operations Supervisor has day-to-day responsibility for supervising and developing the administrative operations team for their assigned region, group, or service line. They will provide training and coaching, enforce safety best practices, supervise performance, and ensure exceptional client service. The Administrative Operations Supervisor also performs a variety of administrative tasks and is responsible for providing support to their assigned executives, location, and/or service line. Independent and sound business judgement is required to plan, prioritize, and organize a diversified workload in a fast-paced environment. The Administrative Operations Supervisor is flexible and able to lead people and projects, as well as maintain confidentiality and a high level of client service. Direct reports may include Sr. Executive Assistants, Executive Assistants, Administrative Assistants and Office Services team members in some locations.

Responsibilities:

  • Serve as career advisor and manage performance of the Administrative Operations team, including hiring, training and career development

  • Partner closely with Administrative Operations Manager and local leadership to understand business needs and client expectations

  • Assist with establishing and maintaining best practices, including championing change initiative and process improvements to align with firm objectives

  • Proactively manage calendars, time and expense entry, and travel logistics for assigned executives, including coordination of team meetings, activities, and communications

  • Compose, format, edit, and proofread business correspondence and presentations

  • Assist with client engagement set-up and support activities, such new client research/acceptance, completion of vendor/due diligence forms, client relationship management data entry, engagement code set-up, electronic file coordination, and billing assistance

  • Oversee event and meeting coordination, set-up, and execution, including schedule coordination, meeting materials, assisting presenters, catering ordering, and on-the-day support and troubleshooting as necessary

  • Leverage internal network and teams to effectively manage workflow

  • Serve as a liaison for internal and external clients, including screening phone calls, facilitating client communications with the appropriate client service staff, and following up with clients, when appropriate

  • Manage office services/facilities and related maintenance, services, and moves of assigned location(s), where applicable

  • Other duties and special projects as assigned

Qualifications:

  • High School Diploma/GED required

  • Minimum of 3 years of related experience required, experience in a professional services environment preferred

  • Experience coaching and managing a team

  • Organizational and project management skills with the ability to direct, manage, and review the work of others

  • Ability to develop relationships, build rapport, and effectively interface with all levels within the firm

  • Strong verbal and written communication skills including the ability to articulate complex issue to leaders and internal/external clients

  • Ability to understand problems, think critically, and identify creative solutions

  • Adaptable to a changing environment; champions change and influences others to change

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook)

  • Ability to handle sensitive situations and confidential information with discretion

  • May require some overtime hours

  • Ability to travel as needed, approximately 5%
