The Project Administration Senior supports the Technical Project Managers for the Consulting Groups with tracking client engagements and deploying resources. This includes setting up and closing out client engagements, scheduling project tasks, document management, and database management. The successful individual will have a demonstrated capacity to drive consulting projects to a successful completion by ensuring administrative tasks are completed on time and accurately and that project tasks are on track through solid project management and ongoing business analysis.

Responsibilities:

  • Assist from project kick-off through completion, including scheduling kick-off meetings, inventorying requested documentation from clients and following up as needed, scheduling engagement related meetings and interviews, monitoring key engagement tasks, providing notification of task completions, coordinating client communications, and submitting deliverables

  • Update project management tools used to track engagement tasks and deliverables

  • Coordinate and participate in project kick-of and project status meetings for the Technical Project Managers that covers current schedules challenges, and risks, providing suggestions to remediate when appropriate

  • Set up project templates in accordance with the service line standards, if applicable

  • Proactively monitor the team’s forecast, including monitoring and tracking personnel capacity, engagement personnel and vendor hours (current and upcoming), and budget burn rate; develop and deliver reports to leaders on forecast and utilization

  • Assist on-site and off-site consultants and vendors by providing reminders and notifications of engagement activities

  • Coordinate vendor onboarding, including ensuring contractors are set up with appropriate technology requirements and access, if applicable

  • Liaison with appropriate Moss Adams departments to resolve billing issues and questions, if applicable

  • Coordinate client and vendor agreements, as needed

  • Document internal processes and assist with new processes, technology, and tool implementation, if applicable

Qualifications:

  • Bachelor’s degree or equivalent experience required; emphasis in business or a related field preferred

  • Minimum of 3 years of related experience required

  • PMI certified strongly preferred

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, and SharePoint)

  • Strong organizational and project management skills

  • Able to understand problems, think critically, and identify creative solutions

  • Strong attention to detail; commitment to producing accurate work in a timely manner

  • Proven commitment to providing exceptional client service (internal and external)

  • Strong verbal and written communication skills

  • Ability to develop relationships, build rapport, and effectively interface with all levels within the firm

  • A self-directed professional with strong interpersonal skill

  • Effective time management and organizational skills, proven ability to prioritize while simultaneously managing numerous parallel projects/processes

  • Ability to handle sensitive situations and confidential information with discretion

Compensation Range (Denver Market ONLY): California State: $83,000 -$119,000
