Do you love to be the “face of the company”? Robert Half is seeking stellar Front Desk Coordinators to assist our clients in the Salem area! The Front Desk Coordinator is responsible for answering busy multiline phones, greeting walk-in guests, and providing administrative support for different departments. The Front Desk Coordinator will also be responsible for report maintenance, creating templates and customized correspondence, data entry into the company database, taking charge of numerous projects in Word and Excel, and other duties as assigned. The Front Desk Coordinator will have excellent customer service skills and the desire to jump-in where needed. The ideal Front Desk Coordinator will have advanced software skills, strong administrative support experience, excellent prioritization and organizational skills, and the ability to communicate both verbally and in written form.

Job Duties:

  • Greet and welcome visitors with a courteous and friendly demeanor.

  • Answer and direct incoming calls in a timely and professional manner.

  • Maintain an organized and tidy reception area.

  • Manage appointment scheduling and maintain the office calendar.

  • Assist with administrative tasks such as data entry, filing, and photocopying.

  • Receive and distribute incoming mail and packages.

  • Coordinate with other departments to ensure smooth operations.

  • Provide information to clients, guests, and employees as needed.

  • Follow company policies and procedures while maintaining confidentiality.

  • Handle inquiries and resolve issues with tact and diplomacy.

    Requirements

  • Excellent verbal and written communication skills.

  • Proficiency in using Microsoft Office Suite (Word, Excel, Outlook).

  • Strong organizational and multitasking abilities.

  • Customer service-oriented attitude.

  • Ability to remain composed under pressure and handle challenging situations.

  • Professional appearance and demeanor.

  • Strong attention to detail.

  • Prior experience in a similar role is a plus.
