Description Position Overview: The HCM Systems Analyst is responsible for the administration, configuration, and optimization of our HCM (Human Capital Management) platform through UKG. The HCM Systems Analyst leads system and process configuration based on the needs of the business and supports the day-to-day operations of Affinity Plus' HCM. This role supports various HR functions, including data management, reporting, process automation, and organizational management. Provides functional and technical guidance to HR as it relates to the utilization of the UKG HCM and components. Responsible for developing and supporting the configuration, operations, maintenance, testing, troubleshooting, and reporting in the HCM. Duties and Responsibilities: HCM System Management Build and maintain functional configuration, including business process administration, condition rules, calculated fields, and security Create solutions/automation through data collection and analysis it to improve HR strategies and processes, as well as suggest ways to increase the functional productivity and workflow of the HR department Review, test and implement Human Capital Management (HCM) upgrades or patches Collaborate with UKG technical staff to plan and coordinate the application of upgrades or fixes Act as a SME for HR, including researching and resolving issues, unexpected results, or process flaws; perform scheduled activities; recommend solutions or alternate methods to meet requirements Develop and maintain user procedures, guidelines, and documentation Prepare user communications regarding changes in system functionality, look or feel Train HR colleagues on new processes/system functionality Conduct formal and informal training sessions regarding HCM features and functionality Database Management and Reporting Develop and maintain a robust and efficient reporting environment that supports business needs and leverages technology Collaborate with key stakeholders on the creation of dashboard tools to inform HR partners of the status of key metrics Write, maintain, and support a variety of reports or queries using appropriate reporting tools Ensure the confidentiality, accuracy, integrity, and completeness of HR data within the HCM Conduct regular audits and data cleanup activities to maintain data quality standards Security and Compliance Participate in on-going verification of integrity and security of all data in various HR systems Manage user access and permissions within UKG applications via Azure AD Maintain awareness of current trends in HR Systems, within industry and externally, with a focus on product and service development, delivery, and support in relation to industry standards Support other HR and organizational initiatives as needed Monitor system performance and to ensure data integrity and security Ensuring adherence to change management by documenting change plans in advance for approval and documentation to reduce risk and increase change success outcomes Participate in Disaster Recovery exercises and ensure HR solutions are adequately prepared for disaster and recovery Implement and manage security measures to protect sensitive information Other duties as assigned Qualifications and Skills: 3+ years of experience and in depth knowledge with Human Resource Information Systems administration; experience with UKG preferred Proven ability to create custom reports in Cognos Business Intelligence Ability to identify new/improved HR needs and technical solutions to support the continued growth based off business strategy Aptitude to work independently as well as part of a team and ability to collaborate with others to build effective working relationships at all organizational levels Strong analytical and decision making skills with the ability to interpret HR data required with a high degree of accuracy Power BI experience Strong verbal and written communication skills Flexibility to adapt and succeed in a dynamic environment Strong c stomer service orientation Strong conflict resolution and influencing skills In-depth knowledge of HR systems and strong understanding of core HR processes (i.e., payroll, tax, and time & labor system processing). Solid analytical skills and business acumen, combined with the ability to formulate insights, present a compelling case for action, and deliver expert advice and recommendations Strong communication skills to translate complex data findings into understandable insights for non-technical stakeholders Technical Skills Qualifications: UKG Software Proficiency: Ability to configure, customize, and troubleshoot UKG applications Database Management: Proficiency in SQL for querying and managing databases Understanding of relational database concepts and data modeling Integration and Scripting: Experience with integrating UKG systems with other enterprise systems (ERP, HRIS, payroll, etc.). Scripting skills (e.g., Python, JavaScript) for automating tasks and creating custom reports. Experience with complex secure file movement between Affinity Plus and UKG to support creative solutions where a true API integration is lacking (PGP, SSH) System Administration: Experience managing user access in Azure AD Networking and IT Infrastructure: Understanding of network protocols and IT infrastructure that supports UKG SaaS Knowledge of cloud computing Security and Compliance: Familiarity with data privacy laws and regulations (e.g., GDPR, CCPA) and how they impact HR data Workplace Environment: Sitting 90-95% and standing 5-10% Working at a computer 98% of the day, utilizing the phone 40-60% Bending, twisting, kneeling, stooping, or crouching when appropriate, on occasion Repetitive movements, including but not limited to typing, using a mouse, phones, etc. Requires onsite presence based on coordination of work with other employees and/or departments. May require travel to attend on-site meetings/events for collaboration, connection, project work, All-Employee Day, etc. Required Work Schedule: Standard Monday through Friday business hours with a willingness to work a flexible schedule as needed. Consistent and reliable attendance is a required essential function of this role to meet the needs of the department/team and organization. This position will be Hybrid with expectations to work onsite, in St. Paul, MN, at least once per month for team meetings.
