Description
We are offering a contract employment opportunity for an Administrative Coordinator in the Education - University industry, located in Saint Paul, Minnesota. This role is primarily focused on providing exceptional administrative support, event management, and supervision duties.
Responsibilities:
• Deliver superior customer service through various channels such as emails, phone calls, and face-to-face interactions
• Handle the coordination of event reservations across all campus locations, ensuring the correct allocation of resources
• Collaborate with event hosts to identify and cater to their needs for successful events
• Uphold a thorough understanding of building procedures, policies, and amenities to guide ambassadors and event clients
• Participate and contribute to staff meetings and trainings
• Support detail oriented staff and Student Event Managers with operational tasks and projects
• Oversee events to guarantee their smooth execution, providing necessary assistance to event hosts
• Address and resolve any issues arising before or during events
• Interact professionally with service providers and guests, maintaining a positive attitude
• Communicate effectively with supervisors/managers regarding any problems at events
• Act as a leader and mentor for the Event Ambassador staff, guiding them when needed
• Collaborate with the other student Event Manager(s) and detail oriented staff, completing high-level work tasks delegated
• Organize weekly meeting agendas with detail oriented staff and lead biweekly all staff meetings
• Monitor the performance of the Event Ambassador staff to ensure they are meeting job expectations
• Assist with the staff scheduling process.
Requirements • Candidate must possess at least a Bachelor's Degree in Business Administration or a related field.
• Prior experience in an administrative role, preferably within an educational institution, is highly desirable.
• Proficiency in using Microsoft Office Suite, particularly Word, Excel, and PowerPoint.
• Exceptional organizational skills and attention to detail are crucial to manage multiple tasks and meet deadlines.
• Excellent interpersonal and communication skills are required to liaise effectively with various stakeholders, including students, faculty, and external partners.
• Strong problem-solving skills, initiative, and the ability to work independently are essential to navigate and resolve administrative issues effectively.
• Familiarity with university systems and processes is an added advantage.
• Experience in event coordination is necessary as the role involves organizing and overseeing various academic and administrative events.
• Ability to handle confidential matters with discretion to maintain the integrity of the university's administrative processes.
• Capacity to work under pressure and adapt to changes in work schedules or tasks.
• Willingness to learn and grow within the role, keeping up-to-date with advancements in administrative processes and technology.
