TEKsystems Customer Service Representative - Business To Business in Saint Louis, Missouri

Customer Service Representative (CSR) will be responsible for support to the Sales Team and to our Customers.

The SAP Customer Master will be maintained by CSR they will work with the Sales Account Manager and Customer to get accurate information in SAP so that Purchase Orders can be entered in a timely and accurate manner.

Once Purchase Order has been entered and Sales Order created then the CSR will complete the process by approving the order based upon product availability. Once a Sales Order has been approved the next steps will be placing a pick ticket and packing slip on the Sales Order.

This requires communication with our Warehouse/Shipping Manager from 3 different warehouses.

Once a pick ticket and packing slip have been created then warehouse /shipping manager will place all shipping paperwork on a shared drive, and it will be the responsibility of CSR to review the documents and create an invoice for the shipment.

Once an invoice is created then CSR will review the AR Report and send emails to the customer for collection of outstanding invoices that are over 90 days old., this may also require a phone call to the customer when more than 3 emails have been sent and no payment has been received.

General Customer Service JD

• To be a one point of contact for customers operational needs within the company. and coordinate with all internal personnel and departments for accurate, timely and complete response to all customer requests

• To develop a personal rapport with customer contacts and understand their individual needs

• Receive and process customer orders as per set procedures

• Receive and process customer sample requests as per set procedures

• Receive and process pricing requests and RFPs as per set procedures

• Receive and process customer complaints as per set procedures

• Receive and process all document and any other request from customers as per set procedures

• Ensure all requests from customers are fulfilled within set time frame for individual activities as per set procedures

• Ensure proper filing of all documents and records

• Keep respective sales reps informed of all customer requests and completion

• Maintain confidentiality of customer information and not to share with any person internal or external if they are not involved in the process

• Report all pertinent information to the Customer Service Manager

• Assist in customer collections

Skills & Qualifications:

Needs to be able to type and enter orders into SAP accurately.

SAP knowledge required - doesn't need to be an expert, but basic understanding required

Needs to have knowledge of Excel and how to do basic functions sort / filter – we will train on other features that may be needed.

Needs to have great written communication in responding to emails –knowledge in Microsoft Office and Calendars

Needs to have great oral communication in responding to customers phone calls or placing phone calls.

Needs to know how to multi-task and prioritize your daily operational duties

Organization is extremely important in this position. Being able to multi-task or move between different processes through out the day is a must.

Needs a basic knowledge of Account Receivable – will invoice customers and will also send email notifications on invoices that need to be collected and a phone call may need to be placed to collect.

A positive attitude and willingness to learn and do what is needed to ensure all orders from our customers goes out in a timely manner. Being a team player if your workload is slow – being willing to help another team member on their order load.

We need someone with a good work ethic and good character.

Willingness to support Sales Team and the Customers.

Overtime is required from time to time – you will be given notice ahead of time when we need to work over our 40 hours a week.
