INTERMITTENT SKILLED SUPPORT - ENVIRONMENTAL SERVICES CLERK / ENVIRONMENTAL HEALTH
PURPOSE:This is a part-time position to provide clerical and technical support to the Division of Environmental Health and Protection and direct secretarial support to the Director of the division. Duties may include responding to telephone, and in person public inquiries, complaints, bookkeeping, and record keeping. This position acts under the supervision of the Division Director-Environment Health and Protection.
JOB DESCRIPTION: Assists the Environmental Public Health Specialists with inquiries from program licensees. Provides secretarial and clerical support for Division Director and other department staff. Relieves Director of administrative detail. Directs calls to appropriate individuals or department. Determines visitors needs and directs to appropriate resources. Provides information and documents as needed. Gathers information from callers and visitors. Uses the phone system to locate county employees and transfer calls. Maintains a system to aid visitors and callers with non-county functions. Greets and provides information to visitors as needed. Advises appropriate personnel of safety hazards in work area. Helps to train new staff as needed. Posts notices of meetings and requests for purchase. Assists Division Director with preparation of division budget including monitoring categorical spending and maintaining purchasing logs. Documents license fees received and enters data in computer to allow licenses to be printed. Makes collection calls. Performs data entry into operating system, spreadsheet, and word processing files. Maintains database of licensed establishments in the County. Stuffs envelopes, verifies and tracks information, organizes files and data, makes copies, files, sends e-mails, mailings, performs research on computer records and websites. Maintains filing system and a supply of forms needed for business. Prepares correspondence, schedules, reports, and documents as directed. Receives, logs, and distributes water test kits. Receives and distributes department mail, determines if documents received require special handling. Logs various program complaints. Prepares requisitions, invoices, and purchase orders as required. Maintains necessary computer files in order to track budget expenditures. Monitors accounts payable/ receivable. Answers citizens inquiries regarding recycling and other environmental topics. Enters payroll in absence of payroll clerk and tracks department personnel records such as time worked, payroll, and attendance as needed. Tracks staff training. Attends meetings with the Division Director as needed and writes meeting highlights. Prepares correspondence, purchasing requests, bids, lists, reports, forms, and other documents as needed. Assists supervisor or other staff with special projects. Requisitions office supplies and coordinates office equipment maintenance as needed. Utilizes Excel, PowerPoint, Access, and Word extensively in addition to specialized Division software. Faxes, copies, and files documents. . Assists callers with County internet site as necessary. Performs housekeeping duties as necessary in public areas. Maintains various recycling program reports and logs. Coordinates activities of volunteer clerical helpers. Reports hours completed by workers to community service agencies. Transcribes public hearing minutes. Attends training to prepare for providing support services to the Division during public health emergencies. Assists supervisor or other staff with special projects. Position is eligible for telecommuting on occasion Other duties as assigned
