  • BASIC PURPOSE

The purpose of the Youth Department’s Youth Program Specialist (YPS) is to keep track of reports, deadlines, statistics, badge work, youth department calendar. To keep open communication with the field regarding upcoming events, manage the camper database, keep youth storage organized, make sure youth and candidate files are up to date, managing office/program orders and supplies, and to be the first point of contact for local corps. Additionally, working in tandem with the DYCS(es), the YPS will be an encouragement to our Del Oro youth, and their leaders, both in corps and institutions, to grow in number and in spiritual maturity (deep and wide), assisting in their development through fun and engaging events and training.

  • ESSENTIAL DUTIES AND RESPONSIBILITIES

  • General Office Duties including the following

  • Develop and maintain a good network with Del Oro youth leaders.

  • Developing and maintaining a good network with Del Oro candidates and potential candidates.

  • Primary office contact, answering phones and forwarding messages promptly and accurately.

  • Handling incoming and outgoing mail quickly and professionally

  • Prepare general correspondence as requested by the DYCS(es)

  • Prepare agendas for meetings overseen by the DYCS(es). Attending meetings and taking minutes, typing, and distributing them appropriately.

  • Keep Youth Department tidy, organized, and stocked.

  • Maintain paperwork, and blank documents (digitally as possible)

  • Manage Youth Department Calendar, keeping it up to date with local, Divisional, Territorial and International youth events, and keeping DYCS(es) aware of updates and upcoming events.

  • Corps Program Record Keeping including updating and maintaining troop database, delivering/mailing earned emblems and coordinating top award achievements through THQ and DYCS(es) in a timely manner.

  • Candidate and potential candidate record keeping including updating and maintaining files and communicating with THQ Candidates to keep DHQ candidates files up to date.

  • The YPS will be responsible for reports and statistics including,

  • Internal reporting including gathering information for divisional review and budget

  • Making sure statistics are accurate and turned in appropriately

  • Attend and participate in youth events and summer camping program as necessary including…

  • keeping the field aware of upcoming local, Divisional, Territorial and International youth events by telephone, email and social media as appropriate.

  • main contact for Youth Department Divisional event/camp registrations.

  • helping with onsite registration at events/camp.

  • coordinating room assignments and name tags for Divisional events

  • preparing corps billing for Divisional events under the direction of the DYCS(es)

  • main contact for Camper Database, making corps and service extensions aware of quota fulfillment, and making DYCS(es) aware of holes and unfulfilled camper allocations.

  • Working in tandem with the DYCS(es) to encourage local corps programs through the development and training of local youth leadership, making local units aware of available resources and in helping with the development of new and meaningful resources for the field, grading paperwork, and reviewing applications as necessary for Del Oro Divisional Youth programming including Sunday School, Troops, Corps Cadets, and Junior Soldiers, and assist in training local youth leadership through sight visits and divisional learning events.

  • At the Divisional level, the YPS will be available to help DYCS(es) plan, program, promote as well as attend Del Oro children’s, young adult and candidate events and programs as necessary. They will maintain briefs, project project resource needs, and connect with vendors. Such events include... SAY Rally & SAY Camp, Summer Camp, Youth Rallies & Youth Retreats, Young Adult events and retreat, Candidate Events, and other Special Events put on by the Del Oro Youth Department.

  • Maintain Youth Department social media accounts including sharing upcoming events, responding to messages, and sharing activities and events from across the division.

  • And other duties deemed necessary for the support of the Divisional Youth Department.

  • KNOWLEDGE, SKILLS, ABILITIES AND OTHER QUALIFICATIONS REQUIREMENTS

  • Ability to speak and write the English language at a high and professional level.

  • Knowledge of Salvation Army mission, philosophy, culture, protocol, and organizational structure.

  • High degree of confidentiality.

  • Computer literate in Windows environment (Microsoft Office) including Outlook, Publisher, and Excel.

  • Friendly and personable, maintaining excellent rapport when dealing with fellow staff, those on the field, and with outside vendors.

  • Must work well with others and be self-motivated.

  • Ability to manage multiple priorities simultaneously, while not losing detail and keeping deadlines.

  • Excellent attention to detail and ability to track and present very accurate information.

  • Ability to maintain a good rapport and communication with other staff members, service unit and center personnel, vendors and the public.

  • CERTIFICATES, LICENSES, REGISTRATIONS

  • Active participant at the Salvation Army.

  • AA in relevant field of study, or three years of working experience in Salvation Army youth programming.

  • Must possess and maintain a valid California Class C Driver License and…

  • be able to complete Salvation Army driving requirements upon employment.

  • have an acceptable MVR record with the California DMV

  • Must be 21 years or older.

  • PHYSICAL REQUIREMENTS:

  • Ability to sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent or sometimes continuous basis.

  • Ability to grasp, push, and/or pull objects.

  • Ability to reach overhead.

  • Ability to operate telephone.

  • Ability to lift up to 25 lbs. non-continuously.

  • Ability to operate a computer.

  • Ability to process written, visual, and/or verbal information.

  • Ability to operate basic office equipment and tools, such as computer, telephone, calculator, copier, printer.

  • Travel and overnight stays will be required.
