Job Overview:

Responsible for managing tactical and strategic activities related to the daily administration and maintenance of Vestis’s Roswell Teammate Support Center. Key duties include, but are not limited to: staffing the receptionist desk and telephone lines, maintaining an adequate inventory of office supplies, refreshments, and allied products to support the needs office personnel, responding to building and equipment maintenance requests and negotiating and administrating service provider contracts, coordinating set-up and break-down of furniture for special events, and overseeing all mailroom activities (shipping & receiving of mail & packages, printing services, equipment maintenance programs).

Responsibilities/Essential Functions:

--Manages and reviews performance of Corporate Services team and makes recommendations for goal setting and performance management.

--Makes recommendations for new hire selection, pay, promotion, and/or transfers of the Corporate Services team.

--Negotiate and administer service provider contracts.

--Manage contracted vendor services, including office equipment and maintenance, ensuring cost efficiencies and performance standards.

--Point of contact for outside vendors and property manager.

--Provides after-hour building access to vendors and guests as necessary.

--Participates in annual building inspections and implements any necessary action items.

--Conducts regularly scheduled building equipment inspections.

--Moves/relocates personnel to new locations within the building and provides work-station set-up service for new hires.

--Establishes criteria to ensure onsite cleaning company (outside vendor) is fulfilling contract obligations.

--Reviews cleaning company’s performance by completing weekly audit of janitorial work to ensure cleaning and sanitizing needs are being met.

--Provides transparent feedback and action item list to cleaning company to ensure cleaning and sanitizing needs are being met.

--Event management: Provide set-up/breakdown of furniture and equipment and coordination of catering.

--Prepares vendor set-up and processes invoices.

--Negotiate the purchase of office supplies, furnishings, and equipment in accordance with company purchasing policies and budgetary guidelines.

--Orders and stocks various office supplies, refreshments, and allied products, as needed.

--Delivery and pick-up of necessary items (e.g. files, supplies, etc.), as needed.

--Receives, processes, sorts and delivers incoming mail on a daily basis. Also responsible for logging and distributing incoming shipments.

--Processes daily outgoing mail including overnight and outside package shipping using couriers such as FedEx, UPS, & USPS.

--Stocks paper and other supplies for various photocopiers, fax machines, printers, and supply rooms throughout the Teammate Support Center.

--Processes special in-house photocopying projects for various departments. Prints a variety of Payroll and Accounts Payables checks on a regular basis for the Accounting and Payroll departments.

--Stocks all coffee bars and kitchens as needed.

--Oversees and carries out special projects as necessary.

--Manage the facility emergency preparedness programs and provide ongoing guidance to the safety steering committee.

--Other duties as assigned.

Knowledge/Skills/Abilities:

--Demonstrated success in project management.

--Excellent planning and organizational skills.

--Well-developed interpersonal and communication skills.

--Strong negotiation skills.

--PC experience necessary: MS Office Suite

Experience/Qualifications:

--Requires 5+ years of corporate experience in a facilities management function, including management of at least one teammate.

--Mailroom or similar experience in a medium to large company within a corporate environment

License Requirements/Certifications:

Working Environment/Safety Requirements/Physical Requirements:

--Position is situated in an office environment.

--Must have the ability to lift and move packages of varying size and shape (up to 50 pounds).
