University of Maine System Administrative Specialist CL3: Rockland Center in Rockland, Maine

Position is available to employees of the Associated C.O.L.T. Staff of the University of Maine from 9/11/24 through 9/18/24 and open to other University of Maine System applicants thereafter.

Job Description:

The University of Maine at Augusta is seeking applicants for the full-time position of Administrative Specialist Career Level 3 (CL3) for the UMA Rockland Center.

Responsibilities include, but are not limited to:

  • Serving as the initial point of contact

  • Managing day-to-day office operations

  • Providing high degree of customer service, support, screening calls, visitors, and mail

  • Assisting students

  • Troubleshooting technical issues

  • Creating documents and reports using Microsoft Office

  • Processing confidential information

  • Administering student exams

  • Performing tasks related to accounting and basic bookkeeping

  • Supporting the coordination of student workers

  • Support student association event planning

  • Closing the Center.

Work Schedule: The schedule may vary based on enrollment and Center needs, but will typically be Monday - Friday with early evening hours Monday - Thursday. Occasional additional weekend or evening hours may be required.

Wage: $19.59 per hour for a new hire or the applicable transfer rate in accordance with the ACSUM collective bargaining agreement.

Qualifications:

Required:

  • High School diploma or equivalent education and job-related experience, including three years of administrative support experience.

  • Ability to use grammar, punctuation, and spelling effectively

  • Extensive use of computers and related software applications, including Microsoft Word, Excel, and Access

  • Ability to maintain confidentiality

  • Ability to manage multiple tasks and prioritize and assign work

  • Excellent communications and interpersonal skills

  • Knowledge of social networking

  • Eagerness to learn new technologies

  • Ability to work independently and as a member of a team

  • Excellent customer service skills

  • Excellent analytic and problem-solving capabilities

Preferred:

  • Associate's degree or higher

  • Previous related experience in an educational setting, preferably in higher education

  • Knowledge of PeopleSoft (preferably MaineStreet)

  • Cash handling experience
