Job Responsibilities:

Job Duties and Responsibilities:

Assist Graduate Program Director with management and delivery of dual degree and graduate programs:

  • Provide support to program director and graduate faculty who are advising graduate students (Dual Degree Bachelors + Masters and stand-alone Masters)

  • Assist with professional letters of recommendation

  • Prepare preliminary and final programs of study

  • Graduate applications processing, communicate with prospective students, status reports

  • Log applications arriving from graduate enrollment services

  • Screen and assemble information for review (GPA calculations, GRE scores, TOEFL scores, letters of recommendation, etc.)

  • Email correspondence with graduate applicants throughout the admissions process

  • Prepare scholarship awards, stipend awards, admissions decision forms and transmit forms to appropriate offices around campus and to the student applicant. This requires a high degree of accuracy due to the financial commitments of these letters and financial implications to the university

  • Interface with the Office of Admissions to monitor status of accepted applicants, i.e., acceptance of scholarships, completion of deposits and other requirements for enrollment into the program.

  • Prepare Audits and Graduation Certification Documents for review by Dept. Head

  • Document student completion of all degree requirements including capstone theses, projects and publications

  • Verify that student documents have been submitted to the library for compliance with university policy

  • Prepare certification forms for review and approval by the department head

  • Provide support to the graduate director and program faculty in the compilation and organization of documentation related to program evaluation.

  • Provide Department Head with statistical data on graduate education (e.g., full-time and part-time enrollment, scholarship awards, and time to graduation)

  • Provide monthly or quarterly updates on scholarship awards, stipend updates and financial commitments to students

  • Provide reporting and support of middle states accreditation requirements regarding progress towards degree, enrollment status, retention and graduation rates

  • Track performance over time on graduate student success metrics

  • Review and resolve unmet needs of graduate/dual degree students during registration.

  • Assist with unique course conflict and scheduling constraints experienced by graduate students

  • Understand graduate program offerings across the KGCOE for students who cross register

  • Calendar management for graduate director, department heads, graduate faculty, research meetings, etc.

  • Engage external sponsors in collaborative research meetings with graduate students and multiple faculty subject to many schedule constraints while still presenting RIT in a professional manner to our funding sponsors

  • Graduate Student Data Processing

Assist graduate students and program director with forms and processes associated with graduate degree completion:

  • Communicate with matriculated students.

  • Communicate with incoming students prior to and during graduate student orientation

  • Assist incoming international students with housing options and getting access to the international student services office

  • Assist graduate students with student employment and other forms necessary for employment at RIT during their graduate program

  • Graduate thesis defense scheduling, announcements, and outcomes reporting.

  • Prepare seminar announcements of upcoming thesis defense

  • Schedule room for defense and any hospitality needs associated with

  • Provide examination reporting documents to the examining committee

  • Provide report of examination outcomes to the department head

  • Process probation and suspension, application for graduation, full time equivalency, course withdrawal, institute withdrawal, leave of absence, internship and similar student documents.

  • At end of each semester process student suspension and probation forms for students at academic risk

  • Assist department head or graduate program director with student waiver of suspension appeals

  • Prepare student full time equivalency forms to comply with F-1 visa requirements for international students

  • Process institute withdrawal and leave of absence forms with the clear understanding of the financial implications to the university

  • Prepare transfer credit and course articulation forms.

  • Be able to interpret and analyze transcripts from universities all over the world that use a variety of grading, marking and reporting systems

  • Prepare internship, capstone, independent study and similar individualized program of study forms.

  • Process independent study and special topics course descriptions and student deliverables each semester

  • Register, enroll, manage waitlist and advertise Graduate Level courses with other campus constituents. (Dual Degree, Masters and PhD students)

  • Work extensively with systems such as SIS and Tiger Tracks

  • Departmental Document Management:

  • Update course bulletin, flowcharts and brochures for departmental academic programs.

  • Prepare and print materials such as information for prospective students, open house materials, outreach event materials, student orientation documents, and incoming student packets.

  • Review and update commencement lists resulting from Applications for Graduation.

  • Other Duties as assigned and needed by department, such as:

  • Handle scheduling for upcoming term, including faculty teaching assignments

  • Order office supplies for faculty/staff and reconcile Pro-Card monthly statements

  • Complete Oracle journal entries as needed

  • Back up for Kronos and the card swipe access system

  • Greet visiting parents and students

  • Participate in convocation, graduation, KGCOE Engineering Day, Orientation and Departmental Events.

  • Assist Department Office manager with promotional and marketing activities of graduate programs, display and social media content, and other related projects.

Job Summary:

The Department of Chemical Engineering at RIT is seeking applicants for Senior Staff Specialist – Grad Studies. The Sr. Staff Specialist for Graduate Programs assists the graduate director in the management and delivery of graduate and dual degree (combined BS and Master's) programs including graduate program administrative support, graduate student data processing, departmental document management, and other duties as needed by the department. Graduate and dual degree programs are an essential and growing part of academic offerings and research activities in the Kate Gleason College of Engineering. This individual will report directly to the department head.
