Job Responsibilities:
The senior staff assistant's responsibilities include managing departmental communications such as website updates and drafting the annual report, recruitment, and collaboration. They also assist in event and meeting planning, maintaining student records, and providing other administrative support.
Responsibilities:
Maintain academic records including downloading student application materials, update worksheets and publication lists, monitor student progress to various milestones. Draft student letters as needed.
Assist with PhD degree certification process
Assist with academic operations such as course registration, leading enrollment in research credits for full-time status, managing transfer credit, reviewing and revising Commencement Book
Prepare paperwork for student proposal and dissertation defense, provide logistical support for presentation
Assist with the planning and management of all department events and meetings including room reservations and recording meeting minutes
Support events including graduation and PhD Hooding Ceremony and department reception
Manage the content on the PhD program's web pages and act as the point of contact
Create, design, and edit annual report on department activities & accomplishments
Organize and support visits and tours for external visitors and prospective students
Serve as the department liaison to the International Student Services Office and the Office of Career Services and Cooperative Education

Required Qualifications:
Education/Experience:
Associate's degree or equivalent experience
At least 2 years of related administrative/office experience.
Skills:
Ability to manage multiple projects simultaneously
Excellent customer service skills
Strong verbal and written communication skills
Proficiency in Microsoft Office Suite
Experience or ability to learn design skills
Preferred Qualifications:
Experience with PeopleSoft and Oracle or Workday
Familiarity with graduate education an/or research environments
