General Description

This is a stenographic work requiring a high degree of accuracy in taking and transcribing statements in connection with police investigations. The employee may perform stenographic activities using a stenographic machine; must be able to record statements verbatim at a minimum of 170 words per minute. The employee must be prepared to work irregular hours such as nights and holidays and be on twenty-four hour call to transcribe statements for witnesses, victims, and suspects in various units in the Police Department. The work is performed in accordance with well defined procedures and is under general supervision. Related work is performed as required.

This is a Competitive Class position. The individual selected to fill this vacancy will be given a provisional appointment and will be required to participate in the next Civil Service Examination for this title.

A qualified applicant may be provisionally appointed and serve in the position until a Civil Service Examination is administered and an appropriate eligible list can be established to make a permanent appointment in accordance with the Civil Service Rule of Three. CITY RESIDENCY WILL BE REQUIRED WITHIN ONE YEAR OF HIRE.

Typical Work Activities

  • Takes and transcribes verbatim testimony during administrative hearings or by using a stenographic machine;

  • Takes and transcribes dictation of letters, memoranda, reports and other material;

  • Proofreads and corrects all stenographic and recorded statements;

  • Proofreads summaries and various written correspondence generated by PSS personnel;

  • Assists in the preparation of a number of reports for local, state and federal agencies;

  • Transcribes recorded phone calls, taped statements and Civilian Review Board findings;

  • Enters information into a computer database, computerized transcription system, word processing program and other related computer applications;

  • Operates paper shredder, tape recorder, photo copier, and other office machines;

  • Maintains custody of evidence presented at hearings and confidential case records, including filing and purging;

  • Answers main telephone line, greets walk-in complainants, and triages complaints to appropriate personnel;

  • Orders, purchases, receives, and inventories supplies;

  • Notarizes documents, as needed.

Minimum Qualifications

I. A. Associate's degree in Court Reporting or Secretarial Science with course work in verbatim dictation; OR

I. B. Business School graduate with a certificate in Court Reporting or Secretarial Science with course work in verbatim dictation;

PLUS

II. Two (2) years of full-time experience (or its part-time equivalent) taking and transcribing verbatim records.

SPECIAL REQUIREMENTS:

Possession of a New York State Notary License within six (6) months of hire. This license must be maintained throughout employment in this title. Training provided by the City.
