(URGENT) Accounts Payable Administrator
Job Description
We are seeking an Accounts Payable Administrator to join our dynamic team. The ideal candidate will be responsible for receiving and verifying expense reports, reconciling financial reports, facilitating vendor payments, and assisting with accounting records. This role involves sorting 150+ invoices daily using our internal ERP system, Medias.
Responsibilities
Receive and verify expense reports; reconcile expense and other financial reports with account balances and office records.
Sort 150+ invoices daily in Medias (internal ERP system).
Facilitate payment of vendors, including verification of federal ID numbers, reviewing purchase orders, and resolving discrepancies.
Ensure outstanding obligations are credited upon payment, identify discount opportunities, and issue purchase order amendments or stop-payment orders as needed.
Assist with accounting records and ledgers by reconciling monthly statements and transactions.
Record entry of, verify documentation for, and distribute petty cash.
Calculate and report sales tax based on paid invoices.
Essential Skills
2 to 4 years of experience in accounts payable, invoicing, and data entry.
Experience sorting 100+ invoices daily (400-500 weekly).
Basic proficiency in Excel, including navigating spreadsheets.
Ability to correctly sort AP documentation.
Strong multi-tasking skills, problem-solving abilities, and the capacity to work independently in a fast-paced environment.
Bachelor's degree.
Experience in the manufacturing industry.
Additional Skills & Qualifications
High volume AP experience.
Ability to handle multiple tasks simultaneously.
Consistent career trajectory preferred.
Work Environment
The work hours are from 8:00 AM to 5:00 PM. Occasionally, you may be required to come in early or stay late. Weekend work is voluntary, with incentives such as breakfast and lunch provided, gift cards, and extra pay during month-end or backlog periods. You will be reporting to the Accounts Payable Manager and working alongside six other AP Specialists. Our team is supportive, and we offer a great culture in a growing industry. Our company is the fourth largest power transformer manufacturer in North America, with three manufacturing facilities.

Pay and Benefits
The pay range for this position is $20.00 - $22.00/hr.
