Wolters Kluwer HR Operations Specialist in Riverwoods, Illinois

Provides support to HR and Wolters Kluwer businesses, driving immigration compliance and supporting the immigration needs of visa-dependent employees and their families. Provides support to other HR Specialty functions as required including Compliance and Contingent Workforce programs. Reviews and responds to case management inquires, solves low to medium level problems in a dynamic environment, and works to support the long-term goals of the company. Runs reports and audits to support the immigration and compliance function ensuring programs are meeting requirements. This position supports and performs professional work of medium difficulty and has some specialized knowledge.

Essential Duties and Responsibilities:

  • Supports immigration program including foreign national US visa and immigration services for 300+ employees.

  • Ensures cases are opened and filed in a timely fashion reporting concerns or delays to Program team.

  • Serves as first point of contact and liaison with global talent acquisition as it relates to hiring US based foreign nationals.

  • Completes any I-9 reverification for foreign nationals to ensure compliance.

  • Creates, tracks, and manages all cost approvals to ensure business approval and timely submission of H1-B transfers, extensions, initiation of PERM filings, etc.

  • Reviews and analyzes information and/or documentation of candidates to determine status and ability to hire; providing recommendations to the hiring manager related to any future potential filings or issues.

  • Monitors and responds to communications from HR, Foreign Nationals and Managers in multiple platforms including Envoy Portal, shared Immigration Mailbox, shared Compliance Mailbox and Workday Help

  • Ensures communications are responded to within SLAs established.

  • Engages with visa-dependent employees, promoting positive business interactions and fostering long-term relationships with employees, management, and HR.

  • Identifies and implements continual process improvements.

  • Runs immigration Workday, Hire Right audit reports, and ensures data in Workday, Envoy and any tracking systems are up to date and accurate.

  • Acts as back up support for Contingent Workforce processes and cases including access issues and Workday App updates.

  • Supports external and internal audit requests (Employee and Contingent) by responding to audit request via Workday Help

  • Run and review weekly Workday Compliance training reports for New Hires and Contingent workers.

  • Compile non-compliance reports for Compliance training and work with manager to ensure completion in required timeframe.

  • Respond and support issues related to compliance training including system access issues, integration issues and policy explanation, when needed.

Additional Duties:

  • Provides backup for various HR tasks related to programs such as tuition reimbursement, employee referral payment program, unemployment tasks, Workers’ compensation, background screening adjudication.

  • Participates in new systems testing and provides feedback to align with the business needs.

Education:

Minimum: bachelor’s degree or equivalent experience

Experience:

Bachelor’s degree and 3 years’ experience in Human Resource operations with at least 1 year supporting immigration.

Specialized Knowledge:

  • Basic knowledge of U.S. employment‐based immigration principals and practices

  • Proficient writing and analytical skills required.

  • Ability to work independently, while also being a strong collaborator across a large number of diverse internal groups, teams, divisions, and cultures

  • Ability to work efficiently while meeting demanding deadlines in a fast‐paced environment, prioritize workflow and adjust to frequent workload fluctuations.

  • Ability to identify and escalate issues appropriately.

  • Strong results orientation with a dedicated focus on client experience
