ICF Travel Administrator / Coordinator in Reston, Virginia

Description

We are seeking a highly organized and experienced Travel Administrator to join our team. The ideal candidate will have over five years of experience in the travel industry, proficiency in Excel and PowerPoint, and experience in credit card reconciliation. Proficiency in Concur Travel, SharePoint, and Data Analytics is essential. Excellent customer service skills are critical for this role, as the Travel Administrator will be responsible for ensuring a seamless travel experience for all employees.

Key Responsibilities:

In this role you will:

  • Collaborate effectively with other corporate teams, such as Security,International Operations, Events, Health & Safey, Human Resources, and Finance to develop and implement comprehensive, aligned solutions.

  • Develop communications, guidance, and resources to support business travelers in utilizing the ICF Travel Program.

Travel Coordination:

  • Book or coordinate travel arrangements, including flights, accommodations, car rentals, and other transportation for employees.

  • Ensure travel bookings comply with company policies and budget guidelines.

  • Maintain and update travel records and itineraries.

Customer Service:

  • Provide exceptional customer service to employees, addressing any travel-related inquiries or issues promptly and efficiently.

  • Serve as the primary point of contact for travel-related matters, ensuring a positive travel experience.

Financial Management:

  • Perform credit card reconciliations, ensuring travel expenses are accurately recorded and reported.

  • Assist with travel budgets and prepare financial reports related to travel expenditures.

  • Work with the finance department to ensure timely and accurate processing of travel expense reports.

Administrative Support:

  • Create and maintain travel-related documents, presentations, and reports using Excel and PowerPoint.

  • Monitor and manage the travel administration email inbox, responding to queries and processing travel requests.

  • Collaborate with other departments to ensure smooth and efficient travel operations.

  • Utilize SharePoint for document management and team collaboration.

  • Use data analytics to analyze travel data and provide insights for decision-making.

  • Identify inefficiencies and suggest ways to streamline processes.

Compliance and Risk Management:

  • Ensure compliance with company travel policies and procedures.

  • Monitor travel advisories and communicate potential risks to travelers.

  • Assist in developing and implementing travel risk management strategies.

Basic Qualifications:

  • 5+ years’ experience in the travel industry to include customer service.

  • 5+ years’ experience in Excel with a focus on travel analytics/reconciliation.

  • 3+ years’ experience with Concur Travel systems and corporate travel policies.

Preferred Qualifications:

  • Bachelor’s degree in business administration, Hospitality, Travel Management, or a related field preferred but not required.

  • Strong experience in Problem-solving and resolving complex travel-related issues that arise.

  • Experience with SharePoint.

  • Immediate proficiency in Excel and PowerPoint.

  • Experience using data analytics tools (PowerBI) and techniques.

  • Knowledge of corporate Meetings & Events (Cvent).

Pay Range - There are multiple factors that are considered in determining final pay for a position, including, but not limited to, relevant work experience, skills, certifications and competencies that align to the specified role, geographic location, education and certifications as well as contract provisions regarding labor categories that are specific to the position.

The pay range for this position based on full-time employment is:

$63,511.00 - $107,968.00
