Job Summary

The Senior Administrative Assistant will provide high-level administrative support to the Vice President, Leadership Team and other staff at the location.

Primary Duties

  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents.

  • Creates and manages various tracking tools and spreadsheets to enable the organization visibility to the status of initiatives and KPIs.

  • Compiles information, analyzes, and prepares reports and departmental metrics as required.

  • Preparing and maintaining rosters, contact information and status of leadership and project team members.

  • Communicating with contacts to resolve problems as necessary.

  • Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives

  • Coordinating site needs such as organizational events, maintaining supplies, etc.

  • Scheduling conference rooms and meetings as necessary.

  • Attending various meetings with focus of maintaining notes, recordkeeping and updating of trackers.

  • Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.

  • May conduct presentations on administration status and work process requirements.

  • Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.

  • Distributing information to the organization.

  • Broadcasting information via email to the organization.

Qualifications

  • Excellent time management skills with a proven ability to meet deadlines.

  • Ability to function well in a high-paced and at times stressful environment.

  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.

  • Able to type minimum of 50 words per minute.

  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.

  • Must have experience creating and managing spreadsheets for metrics tracking.

  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities

Education / Experience

  • High school diploma required; Bachelor’s degree in Business Administration or related field preferred.

  • 3-5 years of related experience required.
