Reporting directly to the Chief Clinical Officer, you'll own key aspects of the business, from managing the Learning Management System (LMS) to onboarding our top clinical talent. If you're someone who anticipates what's needed, gets things done before anyone even asks, and is flexible enough to pitch in wherever necessary—even if it's not in your job description—this role is for you. Streamline processes and be a pivotal part of a growing organization.

Key Responsibilities:

  • Be the right hand to the Chief Clinical Officer, keeping the team's calendars in check and meetings on point—zero missed deadlines, no excuses.

  • Own the recruiting coordination game: schedule interviews, manage candidate communication, and ensure a seamless onboarding experience for all clinical staff.

  • Anticipate what's coming next and handle it before anyone even asks—you're always one step ahead.

  • Take charge of the Learning Management System (LMS)—manage user access, track training, and ensure everything is running smoothly for providers.

  • Be the global admin and super user for a variety of complex apps—troubleshooting, designing workflows, and supporting users who are not tech-savvy.

  • Add course content to the LMS like a pro, making sure materials are updated and delivered on time.

  • Be an Excel wizard—manipulate data, create reports, and build out dashboards to provide critical insights.

  • Keep us on track with our OKRs (Objectives and Key Results)—you'll be the data hero who collects, organizes, and presents progress in a way that drives results.

  • Assist the credentialing department with applications to ensure nothing falls through the cracks. Accuracy is your middle name.

  • Juggle multiple tasks, including handling team support, preparing killer reports and presentations, and owning project coordination. You're a multitasking ninja.

  • Step up and help with HR functions—keeping employee records on point and confidential.

  • Be flexible—you're ready to pitch in and help with tasks, even if it's not specifically in your job description.

Qualifications:

  • You've nailed it as a remote admin assistant before and know how to work independently.

  • Recruiting coordination and onboarding experience? Yep, you've got it.

  • You don't just react—you anticipate needs and take care of things before they become problems.

  • Tech-savvy with LMS experience? Even better.

  • Super user and global admin experience with complex apps, skilled at troubleshooting and supporting non-tech-savvy users.

  • Excel wizardry—you know how to manipulate data, create detailed reports, and build dashboards.

  • You're a master communicator—whether it's emails, calls, or presentations, you know how to get the message across.

  • You don't just meet deadlines—you crush them.

  • Strong with MS Office and app management tools.

  • You know OKRs and have a knack for data-driven reporting.

  • Experience in credentialing processes is a plus.

  • HR records management experience? That's an edge we love.

  • You know your way around adding course content to LMS platforms, and you do it fast.
