Job Title: Program Manager

Job Description

Lead program improvement initiatives by providing leadership for assigned functional and cross-functional projects. Manage and document efforts using standard A3 templates. Collaborate with management and stakeholders to define project scope, goals, and deliverables that support business objectives. Ensure compliance with department, hospital, and organizational policies, as well as government regulations.

The Program Manager will join the Facilities Services & Planning (FS&P) division, which plays a key role in helping the organization accomplish its mission. With a fast-paced, tech-savvy, and lean culture focusing on goals, metrics, and continuous improvement, FS&P provides non-clinical operational support to ensure safe and successful operations 24/7 and plans for future facility needs. The Program Manager will engage in strategic programs and projects across the nine business units within FS&P and throughout the organization.

Responsibilities

  • Lead program improvement efforts and provide strategic leadership.

  • Assess and document program improvement efforts using standard A3 templates.

  • Collaborate with management and stakeholders to define project scope, goals, and deliverables.

  • Implement quality control measures to ensure compliance with policies and regulations.

  • Participate in staff training and competency assessments for program equipment, supplies, and techniques.

  • Develop unit programs, roles, responsibilities, and algorithms.

  • Review participant performance reports and provide additional coaching or training as needed.

  • Recommend additional or replacement equipment and coordinate equipment trials.

  • Consult, coach, and promote program goals and safety in patient care areas.

  • Coordinate training and implementation of program strategies.

  • Develop and distribute publicity materials in collaboration with program champions, vendors, and hospital departments.

  • Ensure consistent application of program practices across all groups by working with organizational stakeholders.

  • Serve on program committees, report results to sr. Leadership and the executive board and attend unit-based meetings.

  • Maintain data related to program implementation and injury expense reduction.

  • Manage interdisciplinary communication efforts regarding the program.

  • Align program design and structure with organizational key initiatives and projects.

  • Provide strategic input for the Director regarding business objectives.

  • Partner with Operations Managers to identify and develop leadership needs and internal capacity.

  • Guide department staff through change processes and continuous improvement cycles.

  • Develop relationships with various departments and physician groups.

  • Prepare and maintain accurate, coherent, timely, and auditable project records and cost estimates.

  • Be available for on-call duties during non-standard hours to meet business needs and respond to emergencies.

Additional Skills & Qualifications

  • Career progression from Project Manager to Program Manager with a focus on process improvement, change management, and strategic initiatives.

  • Experience in clinical or operational settings, with a focus on upgrading departments.

  • Strong skills in Excel and PowerPoint, with experience in running meetings.

  • Full ownership of process improvement implementation.

  • Knowledge of Tableau and Power BI is a plus.

  • A 'get it done' attitude is essential.

  • Demonstrated ability to act as a thought leader and operational expert.

  • Effective communication skills at all organizational levels.

  • Experience in developing effective written communications, reports, and summaries.

  • Ability to establish and maintain effective relationships with diverse groups.

  • Strong planning, organizing, motivating, mentoring, and evaluating skills.

  • Ability to influence and resolve conflicts.

  • Knowledge of Lean, JIT, Six Sigma, and/or Agile/Scrum techniques.

  • Proficiency in Microsoft Word, Excel, PowerPoint, Visio, Access, Project, and Outlook.

  • Knowledge of business and management strategic planning, leadership development, and education techniques.

Work Environment

Hybrid work schedule, varies depending on teams and sr. leaders needs but will support local hubs in Newark, Redwood City, and Palo Alto, CA. Must be able to work hybrid in all three locations as needed.
