Title: Temporary Legal Secretary

Duration: 6-month contract

Pay Rate: $25.09

Location: Rancho Cucamonga (Hybrid)

Summary:

The Legal Secretary, reporting to the General Counsel, plays a crucial role in managing and coordinating legal inquiries and requests for the organization. This position involves intake and coordination of tasks and deliverables for the legal department, requiring a professional, organized, and confidential approach, often under tight deadlines. The Legal Secretary must possess strong verbal and written communication skills, impeccable attention to detail, and effective time management abilities. Additionally, this role involves extensive interaction with outside counsel, organizational leaders, and executives. The ideal candidate will be adaptable to varied work assignments and thrive in a dynamic, fast-paced environment.

Major Functions (Duties and Responsibilities):

  1. Coordinate and track all meetings involving the legal department or initiated by the legal department.

  2. Manage all business affairs for the legal department, including processing invoices and liaising with outside counsel.

  3. Draft routine correspondence and legal documents under the supervision of legal counsel.

  4. Maintain correspondence records for the legal department, including processing and archiving submissions.

  5. Efficiently manage archives, including filing and maintaining all legal department documents.

  6. Develop reference guides and manuals for legal research purposes.

  7. Follow oral and written directions and instructions effectively.

Responsibilities:

Education & Qualifications:

  • Minimum 1 year of experience as a secretary in an office or business setting.

  • Preferred experience in managed health care, especially in Medi-Cal. Experience in a law firm or corporate in-house legal department preferred. Public entity or government agency experience is a plus.

  • Associate's degree from an accredited institution required/ bachelor’s degree from an accredited institution preferred.

  • Proficiency in MS Office (Word, Excel, PowerPoint) and Adobe Professional.

  • Typing speed of at least 45 words per minute.

  • Effective communication with legal, public entity, and county professionals.

Knowledge Requirement:

  • Knowledge of HIPAA regulations and Familiarity with healthcare data systems.
