Northeast Alabama Community College Administration Assistant to the Dean of Workforce Development and Skills Training in Rainsville, Alabama

Salary Placement and Work Hours:This is a 12-month, full-time position. Placement will be on the E3 Salary Schedule. The work week is Monday through Friday, and hours worked will be a minimum of 40 per week.

Essential Duties and Responsibilities

Job Title: Administrative Assistant to the Dean of Workforce Development and Skills Training

Function:The primary functions of this position are to provide secretarial and administrative support to the Dean of Workforce Development and Skills Training and tocomply with all policies of the Alabama Community College System Board of Trustees, the Alabama Community College System, and Northeast Alabama Community College.

Duties and Responsibilities:The duties and responsibilities of this position include the following:

  1. Provide administrative assistance to the Dean of Workforce Development and Skills Training
  2. Create and maintain files, databases, and spreadsheets
  3. Collect, compile, organize, and present data in a variety of formats for workforce development reports as directed by the President and/or Dean of Workforce Development and Skills Training
  4. Perform general duties as needed for the Office of Workforce Development and Skills Training, including answering telephone calls; assisting students and visitors; replying to incoming correspondence, including emails; and disseminating information about workforce development programs to prospective students as directed
  5. Coordinate with the Office of Human Resources to distribute and collect job descriptions; letters of appointment; work schedules; and all other pertinent personnel information for career-technical full-time and/or adjunct employees per timelines established by the Director of Human Resources, President, and/or institution
  6. Comply with deadlines established by the Human Resources Office to submit and review payroll for workforce development employees
  7. Communicate to full-time and adjunct workforce development employees information regarding professional development and inservice opportunities
  8. Work closely with workforce development instructors to compile course schedules
  9. Accurately complete the annual Perkins report for the Division of Workforce Development
  10. Assist with outreach events for the College and the Workforce Development Program as directed by the President and/or Dean of Workforce Development and Skills Training
  11. Be willing to work occasional evenings and weekends, in support of outreach events and as needed to complete projects
  12. Have knowledge of and commitment to the philosophy and objectives of Northeast Alabama Community College
  13. Represent the College and its philosophy to prospective students and to others in the community
  14. Serve on various institutional standing committees
  15. Prepare and maintain records of correspondence
  16. Comply with all policies of the Alabama Community College System Board of Trustees, the Alabama Community College System, and Northeast Alabama Community College
  17. Perform any other duties that may be assigned by the President
Qualifications

Required Knowledge, Skills, and Abilities:

  1. Proficient use of s readsheets, databases, and word processing using such software as Microsoft Word, Excel, PowerPoint, Publisher, etc. isrequired
  2. Excellent keyboarding skills
  3. Excellent oral and written communication skills with proficiency in the English language
  4. Ability to compose and prepare accurate reports, records, and correspondence
  5. Demonstrated skill in the organization and analysis of data
  6. Understanding of the mission and goals of Northeast Alabama Community College and the Alabama Community College System

Minimum Required Education, Training and/or Experience: An Associates degree in office administration or related field from a regionally accredited institution isrequired
