Administrative Assistant III – 70003055

This advertisement is for a Career Service position located at Region 1 Office Quincy, FL.

Salary: $41,097.16 – $43,260.36 Annual Range

SALARY WILL BE DETERMINED IN ACCORDANCE WITH CURRENT PAY POLICY.

SPECIFIC DUTIES & RESPONSIBILITIES:

  • Serves as personal assistant to the Regional Director. Performs a variety of complex secretarial, administrative and overall managerial duties. Serves as liaison between the Regional Director and his immediate staff. Responds to inquiries from various parties, including private citizens, department officials, court officials, and elected officials on department procedures, policies and general information. Keeps administrative support staff appraised of correspondence, procedures, quality and concerns of the Regional Director and the Department Secretary. Cultivates a positive organizational public image with regard to all assigned duties and responsibilities. Displays an awareness of liaison role and organizational protocol in dealings with all contacts.

  • Prepares correspondence for the Regional Director’s signature. Remains current and knowledgeable of office automation hardware and software and incorporates this into an efficient office management operation. Establishes, maintains and manages a comprehensive system of office files which provide ready access to required documents, either in hard copy or electronic files.

  • Receives and handles all incoming mail and packages to the Regional Director’s Office. Routes all mail not requiring the personal attention of the Regional Director to the appropriate staff. Prepares draft letters of acknowledgement of draft responses to subject matter requiring notification or distribution of information for review and approval of the Regional Director.

  • Receives incoming calls for the Regional Director; provides immediate responses on behalf of the Regional Director on routine issues; directs other calls to the Regional Director or his absence maintains a “call-back” notification.

  • Researches and prepares reports for the Regional Director’s review as well as for use at conferences and staff meetings.

  • Assists in coordinating and preparing for regional staff meeting.

  • Coordinates appointments, makes travel arrangements and completes expense vouchers.

  • Informs and assists Regional staff on proper procedures, programs and policies. This is done through meetings, as well as telephone and written communication. Coordinates the use of conference space.

  • Receives, logs, and distributes all central office procedures and rules.

  • Serves as Litigation Coordinator and Forms Control Liaison for the Regional Office.

  • Routes paperwork to the Service Center on such issues as Monthly Vehicle Logs, Attendance ad Leave Reports, Travel Vouchers, State Purchasing Card charges, and OIT forms for Wardens as well as Regional Staff.

    REQUIRED QUALIFICATIONS:

  • High School Diploma or its equivalent.

  • Seven (7) years of secretarial/clerical experience.
