University Committees Administrator & Office Manager needed in Provo, Utah.

*University Committees Administrator & Office Manager (3/4-time) *

The position is responsible for facilitating university committees administration and providing controller, human resources, and executive office support for the Integrity and Compliance Office. This position also manages systems, records, office procedures, and websites for the office. 

*What you'll do in this position: *

  • Work with President's Council members and staff, committee officers, and other campus units to oversee the process for appointing and releasing individuals serving on university committees.
  • Serve as Workday committee partner ensuring that routing requests for committee roster changes are approved in a timely manner.
  • Track President's Council approval of new and retired committees and maintain committee databases housing past and present committees and committee members.
  • Oversee committee functionality in Workday system.
  • Assist committee officers to revise and draft committee charters.
  • Create committee-related trainings to be provided either in-person or via BYU¿s learning management system.
  • Serve as website manager for the University Committees (committee.byu.edu) website including publishing content, maintaining continuity of themes, designing layout, streamlining navigation, addressing technical issues in coordination with CSRs, and increasing online presence.

Provide Executive Support to the Integrity and Compliance Office

  • Manage Integrity and Compliance Office operations and serves as emergency coordinator for the office.
  • Hire, train, and administratively supervise three to eight student employees.
  • Serve as assistant controller for the Integrity and Compliance Office and manage office budget and finances.
  • Complete Chrome River expense reports, travel pre-approvals, and oversee office purchases.
  • Coordinate office events including scheduling, catering, and agenda preparation.
  • Oversee human resource needs and act as HR coordinator, Y-Time supervisor, security access coordinator, and PDP coordinator for office.
  • Serve on hiring committees, post job openings, process eForms, and ensure smooth transition of successive roles.

Manage Systems and Records for the Integrity and Compliance Office

  • Serve as administrator for office data management systems (iManage, Box, Trello, etc.)
  • Establish, maintain, evaluate, and document system usage procedures and train staff who use these systems.
  • Serve as records liaison for the office and oversee archival efforts.
  • Coordinate overall document management, digital recordkeeping, and file organization.
  • Work to ensure that documents posted online are web accessible.

Lead and Participate in Special Compliance Projects

  • Prepare and edit a variety of compliance materials.
  • Participate in outreach activities for the campus community to strengthen the university's culture of ethical conduct.
  • Assist with office Clery compliance obligations as assigned.
  • Complete other special projects as assigned or requested by members of the Integrity and Compliance Office.

     What qualifies you for this role:

  • A firm commitment to the mission of BYU. 
  • Bachelor's degree or four years (3/4-time or more) of relevant work experience, or the equivalent combination of education and work experience.

*     Preferred:

  • Bachelor's degree and 2 or more years (3/4-time or more) relevant experience and/or training, or the equivalent of education and work experience
  • Education or experience in a higher education setting or similar complex organization office setting relating to office management, human resources management, information technology, or records management

Preferred:

  • Learning design background and experience
  • Experience in an office setting, especially assisting with office management, records management, legal or compliance related work
  • Experience in website design
  • Basic understanding of federal and state regulatory environment in higher education
  • Working knowledge of university structure, policy, and operations
  • Familiarity with BYU systems (Y-Time, Chrome River, etc.)
