The Undergraduate Program Administrator in the Department of Art and Archaeology oversees the undergraduate majors on two tracks, Art History and the Practice of Art, and manages all aspects of two minors, Art History and Archaeology. The UPA is the department's point person for engagement with the registrar, the Office of the Dean of the College, and the Office of the Dean of Undergraduate Studies, working together with the Director of Undergraduate Studies, the Director of the Program in Archaeology, and the Department Manager. The UPA also coordinates with the Program in Visual Arts (Lewis Center for the Arts) to ensure support for those students who chose the Practice of Art track.The UPA is a departmental resource as students are guided through their academic journey at Princeton. This position is responsible for advising students on requirements for each of the two tracks within the major, as well as requirements for the minors. The UPA is also charged with ensuring each of the two tracks offers courses that meet the requirements for upcoming graduating classes. The UPA negotiates cross-listings when needed for this purpose.In consultation with the Curriculum Committee and the Department Manager, the UPA schedules the department’s undergraduate courses with the registrar, maintains course data, and manages enrollments in the Course Information System (CIS). Utilizing university systems, the UPA processes undergraduate funding related to senior thesis research, prizes, and summer field work related to the certificate program.The UPA also manages the planning and implementation of class trips to regional museums as well as international trips over breaks, ensuring strict adherence to university policies regarding international travel involving students. The UPA promotes the department’s major/minors through large university events, as well as course promotion.The UPA must be detail-oriented and self-motived, able to work independently and in a team environment. The UPA creates a welcoming environment for the undergraduate students, and thus will be outgoing and enthusiastic about supporting and promoting undergraduate students.

Responsibilities

Undergraduate Program:

  • * Guide students through their academic journey at Princeton and provide a high-level of administrative support for the Director of Undergraduate Studies in all duties associated with the undergraduate program, including preparation of materials for the Curriculum Committee.
  • * Advise students and faculty on requirements for majors in Art History and Practice of Art and minors in Art History and Archaeology
  • * Communicates the requirements and deadlines of the Registrar and Dean of the College.
  • * Analyze progress to degree for all students in major and minors
  • * Disseminate information about the program to students, faculty, and staff and promote under-enrolled courses as directed
  • * Engage with the Program in Visual Arts (Lewis Center for the Arts) to ensure support for students on Practice of Art track (financial and pedagogical)
  • * Uses SAFE to process payments for senior thesis research, junior independent work, and archaeology students participating in archaeological digs.

Curriculum related:

  • * Manage CIS system for courses, Undergraduate Announcement, Degree Progress Report, course applications and classroom assignments.
  • * Negotiate cross-listed courses
  • * Schedule courses: Each semester, solicits course information from instructors and checks for adherence of their course information to university requirements before scheduling the courses in the Registrar's CAP/CUP course scheduling system.
  • * Manage course enrollments, wait-lists, and precepts
  • * Maintain course data
  • * Works with the Graduate Program Administrator (GPA) to assign graduate Als to precepts.
  • * Manage financial activity related to the program, including the awarding of funding related to thesis research, studio work, and archaeological work
  • * Schedule Comp Exams and coordinates special exams with the Office of Disability Services and the Office of the Registrar.
  • * Utilizes Canvas as the LMS and assist faculty as needed on this platform for individual courses.

Events & Activities Administration:

  • * Plan trips to local museums and international trips for courses during breaks
  • * Promote the department’s major/minors through large university events (Academic Expo, Sophomore Open House, etc.)
  • * Organizes all undergraduate events including Society of Fellows workshops, Fall and Spring colloquia, and Honors and Prizes meetings.
  • * Promote department courses and events
  • * Identify faculty candidates to be nominated for teaching awards
Qualifications
  • * Knowledge of FERPA laws and administers work under these guidelines.
  • * Experience in High Education administration.
  • * Excellent written and oral communication skills are essential, as well as strong organizational and multi-tasking abilities.
  • * The individual should be able to work independently as well as part of a team.
  • * Ideal candidate should be able to exercise good judgment, confidentiality, problem solve, multitask, and be able to prioritize.

Preferred:

  • * Knowledge of PeopleSoft, PRIME, Concur, SAFE, Canvas, EMS, GPS, JobX/TimeX as well as all Microsoft Office applications.
  • * The position requires the need to keep up to date on training and changes to university systems.
