The Undergraduate Administrator in the Mathematics Department at Princeton University supports all aspects of the Undergraduate Program and works directly with the Associate Chair, Director of Undergraduate Studies, Associate Director of Undergraduate Studies, Senior Advisor and Junior Advisor.

Responsibilities

Primary areas of responsibility include: administrative advising for undergraduate students on all aspects of the Math major and minor, from admissions to graduation; providing high-level administrative support for undergraduates entering the Math major and minor; developing and managing solutions that support complex administrative processes and projects, such as course scheduling, independent work, and program data reporting and analysis; acting as the Department’s liaison to the Office of the Dean of the College and the Office of the Registrar on issues related to course scheduling and grading, student enrollment, academic progress, and degree completion; managing financial activity associated with the undergraduate program, including student support and programmatic expenses; administering undergraduate events including admissions events, career and professional development activities, Sophomore Open House, Academic Expo, Princeton Preview, Class Day, etc., and providing administrative guidance and support to faculty on issues related to the undergraduate program.

  • * Manage all administrative and logistical aspects of department undergraduate student academic matters and program including:
  • *
    • CIS
    • Enrollment process and analysis of enrollment trends
    • Events and prizes
    • Masthead and department program information updates
    • SAFE
    • Summer undergraduate research program
    • Teaching awards
    • Teaching evaluations
    • Organization of teaching records, efficient recording keeping and archiving of course materials
  • * Coordination of majors and minors: analyze and update degree progress report to ensure students are meeting departmental requirements, facilitate meeting requests; coordinate junior seminar enrollment and grade reporting; coordinate entire senior thesis process including adviser selection/assignments; dissemination of information on thesis procedures and deadlines; administer the collection of theses, scheduling of exams, calculation of graduation honors, administers prize/award processes and undergraduate events.
  • * Support Department Chair, Director of Undergraduate Studies, and Department Manager on all matters related to undergraduate student program.
  • * Organize and support all Department undergraduate student events and activities (e.g., admissions events, career and professional development activities, Sophomore Open House, Academic Expo, Class Day, Putnam exam and other math competitions, etc.)
  • * Advise Department undergraduate students on all University & Department matters including Department requirements, financial matters and University policies.

Other duties as assigned by the department manager and Director of Undergraduate Studies.

Qualifications

The position requires an administrator that can work independently with minimal direction from faculty members. Excellent interpersonal skills are critical for successful interaction with the Math faculty and students. Additional requirements include:

  • * Bachelor's Degree and four to six years of related experience;
  • * Exceptional analytical, problem-solving, and decision-making skills; attention to detail partnered with the ability to think and execute strategically;
  • * Effective organizational and project coordination skills;
  • * Strong oral/written communication skills;
  • * Superior interpersonal skills including the ability to identify mutual interests, work collaboratively, and create consensus among stakeholders;
  • * Demonstrated ability to gather, analyze, interpret, and present data (quantitative and qualitative) for varying constituencies and purposes;
  • * Ability to exercise good judgment, maintain confidentiality, and handle sensitive information in a discrete manner;
  • * High level of competency with Word, Excel, and PowerPoint.
