Overview The Reservations and Event Planning Specialist (Coordinator I) at USU Eastern is the initial contact for Event Services reservation inquiries. They manage small-scale reservations, assist with large events, and communicate event policies to customers. Administrative duties include scheduling, record-keeping, software utilization, and form processing. They contribute to the continuous quality improvement of this department and assist the Event Services Coordinator to meet Event Services goals and objectives. This role requires strong communication and organizational skills to ensure successful events at USU Eastern.

Responsibilities Reporting and Supervisory Responsibilities

  • The Reservations and Events Specialist reports directly to the Events Service Coordinator. This position may provide training and supervision to student employees. Typical Functions

  • Serves as the first point of contact for Event Services reservation requests. Communicates and routes appropriate requests to the Event Services Coordinator for planning and coordination.

  • Provides excellent customer service to event organizers and attendees, addressing their needs and concerns throughout the event planning process and during assigned events.
  • Manages small scale reservation requests, including inquiries, bookings, meeting rooms, and availability requests.
  • Logistics Management of assigned events. This includes handling event logistics such as equipment rental, audiovisual setup, catering, building/room access, and security.
  • Assist the Event Coordinator with large-scaled events and manages the event coordination of any events assigned to this position by the Events Services Coordinator.
  • Communicates with customers the event Policies and Procedures of USU Eastern, including but not limited to fee structures, deadlines, down payments, and other important information.
  • Track important deadlines and provide necessary follow-up and communications with clients and customers about deadlines regarding scheduled events.
  • May provide training and instruction to students, faculty, and/or staff on how to use campus schedule software and Event Services Processes and Procedures.
  • Assist with the day-to-day management and upkeep of supplies and equipment utilized by Event Services.
  • Become familiar with and utilize Event Services software (campus scheduling software, catering software, and ticketing software).
  • Provide oversight, train, and supervise student employees as directed by the Event Services Coordinator.
  • Assist with the development and implementation of processes and procedures that improve the overall efficiency, effectiveness, and performance of Event Services.
